Description

This role will handle accounts billings and will be responsible for generally supporting the President/Chief Executive Officer with calendar management, setting appointments and assisting with day-to-day interactions with other company leaders, as well as clients and other external parties.

This support position serves as a liaison to other company Officers and senior management teams within the organization.


This unique dual role will also have accounts receivable responsibilities working with owners and general contactors on a daily basis.

What you will do:


  • Maintain and coordinate the calendar for the President and CEO, both professional and personal as needed
  • Schedule and coordinate professional meetings, conferences, teleconferences and appointments
  • Manage specific accounts for collection, working with general contractors on past due monies owed to the company and obtain payment status
  • Utilize company operating systems for collection of accounts receivable and notating account status and keeping General Managers and Managers advise of
  • Work with organization units and other Officers, Directors, General Managers and Managers as needed for scheduling and appointments
  • Maintain an organized filing system of both hard copy and electronic on the company document management system
  • Uphold a strict level of confidentiality

What we are looking for:


  • Possess high school diploma or equivalent
  • Possess at least 10 years of professional experience
  • Possess and demonstrate excellent written and verbal communication skills
  • Extremely proficient with Microsoft Office Suite with the ability to learn Companyspecific and new or updated programs and software (i.e., Penta, OnBase, etc.)
  • Possess strong proofreading, editing, and writing skills—inclusive of proper grammar, usage, and spelling
  • Ability to handle a dynamic and fast paced workload with the ability to work independently with mínimal supervision
  • Possess exceptional interpersonal skills that will aid in the ability to manage customer relationships (both internal and external), perceptions and expectations with a friendly and professional demeanor
  • Collection experience is a must for large construction projects with excellent follow up skills to ensure timely payments
  • Ability to read contracts (understand contract payment language)
  • Schedule: Fulltime, Monday through Friday. Occasional evening and weekend work may be required as duties demand. This is a salary position that is exempt from overtime
