As an Administrative Assistant reporting to the Vice President Leadership Team, you will play a crucial role in supporting CASL's mission.

This position demands creativity, excellent judgment, and strong organizational skills. You will manage multiple priorities independently and maintain discretion in handling confidential matters. Your contributions will help drive our initiatives to empower and transform our community.

Your Impact:


As an Administrative Assistant you will:

Key Responsibilities:


Communication:

Serve as the primary point of contact for internal and external communications on behalf of the Vice President, ensuring timely and professional correspondence.


Meeting Coordination:
Organize and prepare materials for meetings, including agendas, presentations, and meeting minutes. Attend meetings as needed to provide administrative support.


Documentation and Filing:
Maintain accurate records and files, both physical and digital, related to the Vice President's activities, projects, and contacts.


Event Planning:

Assist in the planning and execution of events, conferences, and other special projects, including logístical coordination, attendee communication, and on-site support.


Collaboration:
Work closely with other members of the Leadership Team and staff to facilitate cross-departmental collaboration and information sharing.


Research and Analysis:
Conduct research and compile data as requested by the Vice President to support decision-making and strategic planning efforts.


Administrative Support:

Provide general administrative support to the Leadership Team as needed, including processing expenses, managing office supplies, and other administrative tasks.


Compliance:
Ensure Confidentiality of information is maintained appropriately by following CASL policies/procedures.


Must Haves

To thrive in this role, you should have:

Education/Experience:


  • Associate degree with 5+ years experience, or High School Diploma or Equivalent with 8+ years experience supporting multiple executivelevel positions simultaneously.

Skills/Knowledge:


  • Proficient in Microsoft 365 (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat with an ability to learn and understand various other systems like Sage Intacct, Salesforce, Expensify, Asana.
  • Other soft skills: Communication skills both oral and written, working with an elevated level of independence and initiative, Organizational skills, ability to work in a team environment, must be resilient and able to work under pressure.

Physical Demands:


  • Ability to bend and lift a minimum of 15 pounds.
  • Required to frequently sit, stand, and walk for extended periods.

Environment and Scheduling:


  • Monday
  • Friday hybrid with flexible hours, with some evenings and weekends as needed.

Nice to Haves

  • Fluency in Chinese, Cantonese and/or Mandarin, reading, writing, speaking
  • Experience with Salesforce
