We seek a
Temporary Executive Assistant for a 4-6 month Assignment.

Job Summary:_


Temporary Executive Assistant:
provides high-level administrative support to the President & CEO and the Board of Directors.

The Executive Assistant thinks proactively and respond quickly and efficiently and possess strong administrative, written, and verbal communications, and organizational skills, with the ability to prioritize projects and the needs of the office of the president and the organization while handling multiple priorities and highly sensitive and confidential information with the utmost discretion and composure.


In addition to the Executive Assistant's primary responsibilities of providing administrative and logístical support for the President & CEO and the Board, the Executive Assistant ensures the smooth functioning of the Office of the President and the Corporation's Administrative Office, leading the coordination with HR, Finance, Clinical, and Operations functions and administrative supporting staff as needed.

The Executive Assistant exhibits flexibility, initiative, and works independently as well as collaboratively in discharging responsibilities of the position.


Key Relations:
The Executive Assistant reports directly to the President & CEO. This position works closely with other Executives and their assistants, Board of Directors and its committees, and a variety of external stakeholders


Essential Functions and Duties:

  • Manages confidential and sensitive information from the office of the President
  • Manages active calendar of the President
  • Manages travel plans, logistics, itineraries, calendars, and agendas
  • Manages schedules and inperson or virtual appointments, meetings, and conferences
  • Plans, coordinates, and ensures the President's schedule is followed and respected
  • Assists with the preparation of the President's Monthly report, including preliminary drafts, edits, and formatting.
  • Communicates directly, and on behalf of the President, with Board members, donors, other Executives/Senior managers, and others, on matters related to President's initiatives
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature
  • Determines appropriate course of action, referral, or response
  • Supports and enables smooth communication between the President's office and internal divisions, demonstrating leadership to maintain credibility, trust, and support with all Team Members.
  • Works closely and effectively with the President to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Provides coordination to build relationships crucial to the success of the organization, and manages a variety of special projects for the President, some of which have organizational impact
  • Prioritizes conflicting needs; handles priorities expeditiously, proactively, and followsthrough on projects to successful completion, often with deadline pressures.

Communications, Partnerships, and Outreach_

  • Partner with Finance to ensure adherence with financial policies and protocols regarding check requests, credit card requests, travel allocation forms
  • Available to advise where appropriate or necessary on event planning for all staff gatherings
  • Manages and coordinate agenda for all general meetings

Required Skills/Abilities:_

  • Excellent written and verbal communication skills
  • Ability to manage sensitive and confidential information
  • Highly organized and great attention to detail
  • Ability to handle multiple projects in a busy, fastpaced environment and meet frequent and competing deadlines
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point),
  • Quick to learn new platforms
  • Demonstrated commitment to and experience working in service environments serving underserved communities.

Education and Experience:


  • Bachelor's degree in related preferred.
  • 5 to 10 years of recent and relevant experience particularly in working with the senior leadership of an organization, preferably in a nonprofit organization

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.

- Salary $46.00/per Hour

- Monday - Friday 8:30AM - 4:30PM

- Some Evenings
