Parks Legacy Project seeks an executive/administrative assistant to support leadership in a dynamic young company with exciting potential.


Job brief


We are looking for a responsible and resourceful Administrative Assistant/Project manager to perform and prioritize a variety of administrative, clerical, presentation, and organizational tasks.

Duties of the Administrative Assistant include providing support to our founding partner, managers, and employees, assisting with daily office needs, and managing our company's general administrative activities.

Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.


Administrative Assistant responsibilities include:


  • Handling administrative requests and queries from senior managers
  • Answer and direct phone calls
  • Organize and schedule meetings and appointments
  • Plan meeting agenda's and take detailed meeting notes
  • Assist in the preparation of regularly scheduled reports, budgets, cost estimates and variance reports
  • Develop a filing structure and continuously maintain a filing and document retrieval system
  • Update and maintain office policies and procedures when appropriate
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists per project
  • Book travel arrangements
  • Submit and reconcile reimbursable expense reports
  • Provide general support to consultants, investors, advisors and visitors
  • Act as a point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants across multiple companies to handle requests and queries from senior managers

Requirements and skills

  • Proven experience as an Administrative Assistant,
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, Computers, Printers, and software including Zoom, Microsoft Teams and MS Office Works.
  • Proficiency in MS Office (MS Outlook, Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and resourceful problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask
  • Strong Graphic Presentation Skills a plus.
  • Must be attentive to detail, proactive, resultsoriented and dependable
  • Must be able to exercise good judgement, take initiative, function independently, and work in close cooperation with others


Knowledge and ability to post to various Social Media platforms to drive rounds of golf and food and beverage business would be considered an advantageous skillset.


Pay:
From $22.50 per hour
