Work schedule is Monday - Friday 8.30am-5pm

Pay range is $ 68,000/year to $ 70,000/year depending on the years of experience.

You will receive a defined contribution amount of up to
$13,787.80 per year (prorated for part-time employees working less than 40 hours per week) to purchase the benefits of your choice on a cafeteria plan basis.

Any amount of this defined contribution not used towards your benefits will be paid to you as taxable earnings.
We offer a retirement plan with a generous employer match starting at 4% after one year of employment.

Under general direction of the Administrative Services Manager, provides leadership, supervision, assignment of and training to administrative staff in a manner which ensures the delivery of high quality administrative support.

Develops and implements systems and procedures; prepares and analyzes reports; troubleshoots problems; and performs administrative tasks as needed. Establishes and maintains effective communication with employees and clients.


PRINCIPAL DUTIES AND RESPONSIBILITIES:


  • Supervise the implementation of database administration projects and activities.
  • Provide direct supervision of fulltime Float Admins and Per Diem Admins. Assist the Administrative Services Manager with hiring, performance evaluations and disciplinary actions for administrative staff.
  • Evaluate delivery of support services and create systems for improved efficiency.
  • Coordinate quality improvement activities as they relate to the tasks of administrative services, including but not limited to, analysis of data integrity and reports.
  • Monitor and support staff compliance with established work flow processes, data integrity and other documentation, performance and accreditation requirements.
  • Manage and train administrative staff to collect, and review data for accuracy.
  • Provide professional development mentoring for administrative staff, as well as orientation or training as required.
  • Assist with special projects.
  • Participate in community, agency and team meetings, as requested.

KNOWLEDGE, SKILL, AND ABILITIES REQUIRED:

  • Have high school diploma and at least four years of progressively responsible and complex administration experience, including supervisory experience. (E) Graduation from an accredited business school/college, or equivalent. (D)
  • Have experience using computer software such as Word, Excel and other formats. (E)
  • Demonstrated experience using Outlook as a communication and scheduling tool. (E)
  • Demonstrated experience providing training on Avatar and other Agency software programs. (E)
  • Demonstrated experience running viable reports using feedback from staff, managers and Executive Team. (E)
  • Have knowledge of Santa Clara County Mental Health System. (D)
  • Have excellent communication skills (E)
  • Demonstrated experience organizing and prioritize multiple assignments. (E)
  • Demonstrated experience work both independently and in a group setting. (E)
  • Demonstrated ability to respect confidentiality and work effectively with persons differing in value systems, ethnicity, cultural backgrounds, language capabilities and disabilities. (E)
  • Ability to meet and receive a criminal record clearance as required by Title XXII, other licensing regulations and Momentum practices. (E)
  • Have a valid California drivers license, current automobile insurance and a good driving record, as documented by a DMV report. (E)
  • Physical requirements needed to perform the essential functions of this job, with or without accommodation: Hearing and talking on telephone and in person; standing, walking, sitting, pinching and finger flexion are required constantly (over 2/3 of the workday); (E) Lifting, carrying, pushing, pulling, bending, stooping, crouching, kneeling and twisting are required occasionally (under 1/3 of the workday); (E) Balancing, climbing and crawling are generally not required.
