Job Overview:

The Procurement Specialist is a multi-faceted position that is focused on sourcing, procurement, logistics, database, and vendor management for all the products.

The Procurement Specialist will ensure purchase transactions and logistics are executed according to the policy and work directly with suppliers, freight forwarder and internal business cross-functional team's such as Engineering, Operations, Accounting, and Customer Service.


Responsibilities and Duties

  • Responsible for sourcing, qualifying, and onboarding quality vendors to create a robust and reliable supply chain for all of PAO's sourcing needs.
  • Responsible for writing the POs and sending them to the respective factories for all the products.
  • Update the ship dates and ETAs in Net Suite for all the products by appropriate followups.
  • Responsible for SKU creation and UPC creation for all products.
  • Submit the approved invoices to accounting on a regular basis.
  • Keeps records of factories' offerings, cost, specs, and purchase orders
  • Negotiates with vendors to meet quality, on time delivery and cost objectives.
  • Tracks product costs and pricing
  • Review preproduction/ postproduction samples results and if approved communicate with the supplier to ship bulk (via air / ocean).
  • Review and document each shipment rate with the freight forwarder to obtain cost savings and then approve the load to ship.
  • Update the freight forwarder load number in NetSuite as soon as the product is booked and escalate to Senior Manager of Global Supply Chain if the listed ETA in Net Suite has major changes after the booking.
  • Review the invoices from the freight forwarder and send those invoices to the accounting department for payment and resolve any discrepancies.
  • Monthly submission of average freight cost per SKU and freight cost per supplier (air / ocean) to the Senior Manager of Global Supply Chain.
  • Resolves any of the shipment related issues with the freight forwarder, supplier, or transportation company.
  • Identifies cost saving opportunities.
  • Works with Accounting Dept to resolve any invoice discrepancies in a timely manner and maintains a system of checks and balances to ensure the accuracy of payments.
  • Responsible for complete defect reconciliation and monthly submission of defect reconciliation summary to Senior Manager of Global Supply Chain to review.
  • Responsible for setting up vendor in Net Suite.
  • Assist the Senior Manager of Global Supply Chain in generating KPIs for our global supply chain partners and utilize them to make quarterly scorecards for our suppliers.
  • Responsible for coordinating meeting availability with all the suppliers for SHOT SHOW each year.
  • Other duties, as assigned, are within the Primary Arms Team.
