- Assists with clerical duties and supports staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
- Assist with HR functions such as facilitation during the interview process, gathering new hire paperwork, helping with onboarding, and organizing files.
- Manages all administrative functions of the office, including but not limited to answering phones, scheduling appointments, and meetings, handling correspondence and managing invoices.
- Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
- Must have office experience with the ability to wear multiple hats, multi-task and prioritize in a fast-paced environment.
- Directs office activities and functions to maintain efficiency and compliance with company policies.
- Prepares agendas, makes travel arrangements, and maintains calendars for senior management.
- Managing payables and receivables, which may include maintaining expense reports.
- Maintains office supplies inventory.

- Excellent time management skills with a proven ability to meet deadlines.
- Strong supervisory and leadership skills.

- Basic understanding of how to operate standard business equipment.
- Familiarity with QuickBooks (Entry to mid-level)
- Proficient with Microsoft Office Suite or related software.
- A high school diploma or equivalent is required; Bachelor's degree preferred, or equivalent work experience.
- Six to eight years of previous office management experience

- Bilingual in Spanish a plus.
