Receptionist/office Assistant - Los Angeles, United States - SKYDANCE
Description
Responsibilities:
- Conduct operational tasks such as tracking office supply inventory, research operational solutions and vendors, meeting preparation, deliver mail/packages, and answer main phone line
- Welcome guests as the first impression of Skydance Media and notify appropriate parties of their arrival
- Reconcile Operations expenses every month, settling any discrepancies
- Assist support projects such as interoffice moves and coordination of special events
- Keep accurate records of office supplies and food and order as needed
- Order catering for company events such as employee birthdays and film/TV season release days
- Coordinate shipping and returning packages through USPS and FedEx
- When onsite, tour facility to ensure common areas (conference rooms, kitchens, supply & storage) are clean and organized
- Notify appropriate parties of any issues or concerns
- Coordinate obtaining facility access for new employees
- Work closely with HR and IT
- Other duties as assigned to assist operations or other support departments
- Ensure all employees have the tools they need to do their work in a comfortable and supportive environment
Requirements:
- Minimum 1 year experience working as an assistant, administrator, receptionist, or coordinator (Experience working in Operations, Customer Service, Human Resources, Production or Information Technology preferred)
- Bachelor's Degree preferred
- Driver's license, working and insured vehicle
- Must be able to be onsite at least once per week
- Ability to lift up to 40lbs
- Service oriented, friendly, and a genuine concern for needs of the staff
- Willing to take on all tasks no matter how big or small they may seem
- Proficient in Microsoft Word, Outlook, Excel and Google Drive (Docs / Spreadsheet), familiarity with Canva or Photoshop
- Able to take direction and identify tasks that need attention
- Trustworthy with sensitive and confidential information
- Strong organizational, problemsolving and timemanagement skills
- Selfstarter with high energy and able to learn new functions quickly
- Must have excellent communication skills, both verbal and written
