IronMountain Solutions is seeking an Office Manager perform important administrative tasks in support of the Mission Integration Directorate under the Deputy Chief Technology Officer for Mission Capabilities (DCTO(MC)) within the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)).

This organization provides OUSD(R&E) mission engineering, analysis, and integration expertise to produce objective insights and analytic justification to inform future technology and capability investment decisions.

The team constructs, manages, and conducts discrete mission engineering and analysis study tasks to evaluate the efficacy of legacy architectures and new technologies and capabilities applied in new mission concepts of employment to meet evolving joint mission objectives.


This position will be located on site five days per week at the Mark Center in Alexandria, Virginia.


In this position you will perform important administrative tasks in support of the Mission Integration Directorate under the Deputy Chief Technology Officer for Mission Capabilities (DCTO(MC)) within the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)).

Responsibilities:


  • Serve as office manager for classified suite of 80 desks. Submit and track work orders. Escort visitors as required. Maintain daily accountability roster and visitor log. Manage office space allocation and changes in coordination with government lead. Manage conference room schedules. Coordinate IT support. Ensure compliance with OSHA requirements. Manage office supplies.
  • Serve as Alternate Activity Security Representative (AASR) to the government Activity Security Representative (ASR). Conduct security selfassessments. Develop and execute a security management plan. Resolve security concerns/incidents in coordination with the ASR and OUSD(R&E) Security Office. Pass security clearances for site visits.
  • Manage the onboarding/offboarding process for contractor teams totaling approximately 80 personnel. Coordinate CACs, building access, network accounts, security clearances, IT support, and visitor access requests. Track dates for renewing building access requests, courier cards, and CACs. This may occasionally include overall IDIQ personnel and other supporting organizations (FFRDC, UARC).
  • Maintain contract Program Management Files including performer resumes, Labor Category Qualification Forms, Non-Disclosure Agreements, travel approvals, trip reports, waiver requests and approvals, Monthly Reports, etc. Attend weekly Program Manager Infrastructure meeting and track action items.
  • When required, serve as backup Executive Assistant to Pentagon front office supporting OSD Senior Executives.
  • Provide additional support during training exercises and certification events as required.
  • While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use tools or controls; normal physical activity (reach with hands and arms; climb stairs); and communicate effectively with all levels of employees and leadership. The employee must occasionally lift or move office products and supplies, up to 25 pounds.

Education and General experience:


  • 5+ years of related professional experience.
  • Minimum of High School Diploma
  • You must be an energetic selfstarter who is willing to dig in, learn what is needed and able to identify problems or tasks and fix them without direction.

Desired Skills:


  • Strong organizational and oral and written communication skills.
  • Customerservice focused with experience in office support, operations, and management.
  • Proficiency in disseminating, implementing, tracking, and monitoring established DoD security/safety procedures and IT/Workspace required for office space operations.
  • Attention to detail in preparing documents, keeping records, and tracking tasks to closure.
  • Previous OUSD(R&E) experience.

Clearance Requirements:


  • Active Secret clearance, eligible for TS/SCI.
  • Active TS/SCI Clearance desired.
  • U.S. Citizenship is required for this position.
