    Administrative Assistant, Accounts Receivable - Montebello, CA

    Salary range provided, may go higher DOE

    Summary

    The ideal candidate for this position will excel if they can keep their calm in a high pressure environment coordinating the logistics of the CFO and CEO of the company.

    The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly while supporting the CFO on all Accounts Receivable operations. Thus, the candidate should be detail oriented and a creative problem solver.

    Essential Duties & Responsibilities

    • Completes a broad variety of administrative tasks for the CEO including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
    • Works closely and effectively with the CFO on Accounts Receivable functions to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
    • Provides a bridge for smooth communication between the Office of the CEO and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
    • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
    • Answer, screen, and route incoming phone calls, responding independently and providing as much client service as possible when requested.
    • First line of communication between executives and business partners, potentially speaking with clients, other employees, and upper management.
    • Secures and purchases office supplies for the Office of the CEO.
    • Takes initiative in posting content and updates for the company's social media platforms (LinkedIn) and keeping content up to date.
    • May be assigned other duties.
    • Must maintain compliance with all company policies and procedures.

    Qualifications

    • Bachelor's degree preferred, or equivalent combination of education and experience, professional certification preferred.
    • Able to perform AR functions: invoicing, MS Excel, aging reports, collections, journal entries, credit processing, account balances.
    • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
    • Expert level written and verbal communication skills.
    • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
    • Emotional maturity. High level of ethics, integrity, discretion and confidentiality.
    • Highly resourceful team-player, with the ability to also be extremely effective independently.
    • Demonstrated ability to achieve goals and meet deadlines in a fast-paced environment.
    • Requires strong computer and internet research skills.
    • Critical thinker, who actively seeks opportunities and proposes solutions.
    • Proficient in Microsoft Office (Outlook, Word, Excel), Adobe Acrobat, Social Media, and other calendaring / email apps.
