- Manage operational and administrative tasks for group block management, including building blocks, entering group rooming lists, overseeing group inventory, billing, and pre-arrival responsibilities as needed.
- Allocate rooms based on guest preferences and requests whenever feasible.
- Serve as a go-to resource for both the hotel and clients, providing necessary information.
- Verify and distribute information as required.
- Maintain a good understanding of sales, reservations, front office, and accounting areas. Possess thorough knowledge of operational areas, guest behaviors, demand periods, and seasons.
- Stay informed about revenue management principles relevant to the hotel by participating in revenue management and sales meetings to ensure financial goals are achieved.
- Demonstrate familiarity with the brand's guest loyalty program and its application to group customers to ensure proper credit for reward programs for meeting planners.
- Attend meetings to stay updated on business trends, new bookings, and modifications to existing bookings.
- Participate in Weekly Strategy Meetings.
- Establish and maintain accurate files and systems for accessing information related to group bookings.
- Deliver professional customer service to both internal and external stakeholders.
- Regularly communicate with group contacts to adjust existing reservations, fulfill special requests, etc.
- Stay informed about current hotel events, activities, operating hours, and available dining options.
- Post charges to guest accounts as necessary.
- Ensure smooth guest departures by providing accurate statements, ensuring guest satisfaction, and collecting outstanding payments.
- Undertake any other assigned duties.
- Proficient in Excel and Outlook.
- Strong organizational skills.
- Experience with hotel PMS systems and operational proficiency.
- Excellent oral and written communication skills; ability to interact effectively with individuals at all levels.
- Superior telephone etiquette.
- Familiarity with general office equipment (e.g., fax machine, copy machine, printers).
- Exhibit tact and good judgment, with proven experience in customer and hotel management interactions.
