Job Overview:
Key Responsibilities:
- Manage and maintain the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
- Act as a point of contact between the CEO and internal/external stakeholders, ensuring efficient communication and information dissemination.
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
- Organize and coordinate executive outreach and external relations efforts, enhancing the company's mission and goals.
- Handle confidential information with discretion and integrity, aligning with company policies and ethical guidelines.
- Assist in the preparation of board meetings, including material preparation, minutetaking, and followup actions.
- Support project management activities, ensuring deadlines are met and projects align with strategic objectives.
- Facilitate the smooth operation of the executive office, identifying opportunities for process improvement.
- Participate in special projects as required, contributing to team efforts beyond traditional administrative tasks.
Qualifications:
- Bachelor's degree or equivalent experience in Business Administration, Communications, or related field.
- Minimum of 3 years' experience as an Executive Assistant, preferably within the healthcare or mental health sector.
- Strong organizational, project management, and problemsolving skills with impeccable multitasking abilities.
- Exceptional interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
- Advanced proficiency in Microsoft Office Suite and familiarity with virtual meeting tools (Zoom, Teams, etc.).
- Ability to handle sensitive information with the highest degree of integrity and confidentiality.
- Excellent written and verbal communication skills.
- Knowledge of the mental health industry and a passion for mental health advocacy is highly desirable.
Preferred Skills:
- Experience with phone systems and phone etiquette
- Knowledge of office management procedures
- Familiarity with Outlook Calendar or similar scheduling software
- Proofreading skills for reviewing documents

Pay:
$ $24.00 per hour
