Job Overview:

Key Responsibilities:

  • Manage and maintain the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Act as a point of contact between the CEO and internal/external stakeholders, ensuring efficient communication and information dissemination.
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
  • Organize and coordinate executive outreach and external relations efforts, enhancing the company's mission and goals.
  • Handle confidential information with discretion and integrity, aligning with company policies and ethical guidelines.
  • Assist in the preparation of board meetings, including material preparation, minutetaking, and followup actions.
  • Support project management activities, ensuring deadlines are met and projects align with strategic objectives.
  • Facilitate the smooth operation of the executive office, identifying opportunities for process improvement.
  • Participate in special projects as required, contributing to team efforts beyond traditional administrative tasks.

Qualifications:

  • Bachelor's degree or equivalent experience in Business Administration, Communications, or related field.
  • Minimum of 3 years' experience as an Executive Assistant, preferably within the healthcare or mental health sector.
  • Strong organizational, project management, and problemsolving skills with impeccable multitasking abilities.
  • Exceptional interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
  • Advanced proficiency in Microsoft Office Suite and familiarity with virtual meeting tools (Zoom, Teams, etc.).
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Excellent written and verbal communication skills.
  • Knowledge of the mental health industry and a passion for mental health advocacy is highly desirable.

Preferred Skills:

  • Experience with phone systems and phone etiquette
  • Knowledge of office management procedures
  • Familiarity with Outlook Calendar or similar scheduling software
  • Proofreading skills for reviewing documents
