The Academic Records Coordinator is a key contributor to the Student Services team, specifically within the Registration, Residency, & Transcripts department.

This role involves providing support for enrollment and registration cases, processing Document Scanning & Archives, and offering customer service. The Coordinator will also serve as the primary contact for campus partner communications regarding incoming college-level transcripts.


The Office of the Registrar is charged with implementing academic and student policies and their alignment with state and federal regulations and accreditation standards.

Duties & Responsibilities

  • Student and

Client Service:

Provide exceptional service for inquiries related to incoming college-level domestic and international transcripts, and enrollment and student records cases.


  • Point of Contact: Act as the main liaison for students and campus partners on matters related to incoming collegelevel domestic and international transcripts. Support the registration, residency, and transcripts team in maintaining high service standards.
  • Case Support: Handle incoming transcripts and enrollment and student records cases. This includes reviewing exception forms for undergraduate enrollment in graduate courses, credit by exam, graduate advanced status, and language proficiency. Provide support for advanced placement test credit applicability and verification letters. Assist with escalated cases and questions from student workers and unit specialists.
  • Best Practices Implementation: Assist with the coordination of best practices related to processing domestic and international transcripts. This includes collaborating with campus partners, training, documentation, and understanding industry standards.
  • Record Preparation and Scanning: Prepare and scan domestic and international transcripts and various other records. Index transcript data and verify accuracy. File and store daily records for a quality assurance period.
  • Additional Duties: Perform other duties as assigned.

Minimum Qualifications

  • Minimum of 3 years of relevant experience required, or equivalent combination of education and work experience.
  • Bachelor's degree required or equivalent advanced learning attained through professional level experience required.
