Each year, we cater to over **3,000 children**, from 6 weeks old to Pre-K, providing them with exceptional literacy and STEAM-based learning. We offer **58,000 young individuals** access to various activities like sports, aquatics, camps, and employment opportunities. Additionally, we cater to over **200,000 members**, offering them a range of programs and services aimed at fostering connections and wellness across all age groups. Moreover, we engage with **over 25,000 volunteers and donors** from the Atlanta community, sharing the joy of giving back and supporting local initiatives.

    NATURE AND SCOPE:

    Acting under the guidance of the Executive Assistant (EA), the Administrative Assistant assumes a critical role in providing administrative support and ensuring smooth office operations. This position serves as a primary contact for both internal and external stakeholders, contributing significantly to team efficiency and productivity.

    RESPONSIBILITIES (including, but not limited to):

    • Facilitate internal meetings, collaborating with the EA on logistics, setups, and overall coordination.
    • Organize external meetings held at the Leadership & Learning Center (LLC), managing all logistical aspects.
    • Support colleagues on project-based tasks, ensuring workflow efficiency.
    • Manage office supplies, order necessities, and maintain inventory levels.
    • Handle email and phone communications efficiently and professionally.
    • Process incoming/outgoing mail promptly and assist with special projects as needed.
    • Create and maintain filing systems, both physical and electronic.
    • Assist in document preparation, report generation, and data organization.
    • Help with Accounts Payable tasks like invoicing and purchase orders.
    • Offer information and support to staff, clients, and stakeholders as required.
    • Aid team members with administrative duties and tasks.
    • Coordinate with IT and security staff on various operational needs.

    REQUIREMENTS:

    • High school diploma or equivalent, coupled with 2+ years of experience in administrative roles.
    • Proficiency in Microsoft Office Suite and other productivity tools.
    • Strong organizational and time management skills, with an ability to multitask effectively.
    • Detail-oriented with excellent written and verbal communication skills.
    • Strong interpersonal skills and ability to handle confidential information with integrity.
    • Capability to work independently or as part of a team in a dynamic environment.
    • Adaptability to changing priorities and a fast-paced work setting.

    PREFERRED REQUIREMENTS:

    • Certification in office administration would be advantageous.

    Ergonomics : Applicants must be able to sit for extended periods and lift up to 25 pounds.
