Position Objective:

Responsible for planning, organizing and scheduling employees to ensure that the company's labor requirements and needs are fulfilled. Responsible for tracking, performing and enforcing all activities which involve the placement and movement of patients. Responsible to monitor efficient transfers and discharges.

The Patient Care Services Coordinator is responsible and accountable for the centralized, computer-generated system which provides the support functions of scheduling, staffing and maintaining personnel data


Essential Job Duties:


  • Directs coordination of flex pool staffing and utilization of outside agencies
  • Responsible for reconciling agency staff charges
  • Prepares staffing related reports, utilizes established staffing methodologies, policies and procedures.
  • Reviews time cards and notifies staff of discrepancies identified in time card data.
  • Manages the online agency requisition portal for postings, submissions, contract awards, and pertinent documents that the vendor portal may require.
  • Verifies all agency new hires and renewals have obtained the required licensure/certifications based on the position description.
  • Manages system access, extension, and termination requests for all agency staff which includes start and end contract dates as well as terminations.
  • The Patient Care Services Coordinator is responsible and accountable for the timely movement of patients within and outside of the hospital.
  • Assign beds by physician, nursing and patient preference and care type criteria.
  • Assigns hospital beds based on bed availability balancing with direct admits, hospital procedures and Emergency Room admissions.
  • Monitors bed board of patients and notifies supervisor and nursing staff of changes in bed status at the start of the shift and throughout the day
  • Monitors and updates bed blocks
  • Transfers patients inhouse as needed, ensuring that critical transfers are given priority and while following hospital procedure
  • Processes requests from physicians, clinics and hospitals to schedule an admission, obtain demographic information and communication to the physician offices of the rooms assigned for the incoming patients, contacts any referring facilities with the notification of rooms assigned in order to expedite the transfer of patients to our facility
  • Works with EVS prioritizing the need for rooms to be cleaned and works with EVS to efficiently place patients in beds
  • Informs the Nursing Administrator and Hospitalist of any anticipated and/or actual issues/problems

Educational/Experience Requirements:


  • High School Graduate or equivalent.
  • Recent experience in a healthcare setting; familiarity of medical terminology and computer skills
  • Proficiency with Microsoft Word, Excel, and Outlook.

Working Conditions, Equipment, Physical Demands:


Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
