General Description:


This position coordinates the employee wellness, workers' compensation and safety programs for the City including marketing and promoting the programs, enhancing the programs with the design and delivery of classes and other activities, coordinating with vendors to provide educational opportunities, completing the wellness, workers' compensation and safety programs day-to-day administrative duties, and reviewing and providing recommendations on the programs.

Works under general supervision. Must exhibit and work confidentially and discreetly in all matters pertaining the city, human resources, and employee matters.


This position is non-exempt. Fair Labor Standards Act overtime provisions will apply.

Primary Duties:


  • Performs research, prepares and recommends programs and processes related to the administration of the wellness, workers' compensation and safety programs.
  • Prepares, facilitates and coordinates programs and classes that create awareness and motivation towards wellness and safety. Provides tools to employees that assist in the adaptation and maintenance of a wellrounded safe and healthy lifestyle.
  • Plans, coordinates, and prepares marketing material regarding wellness and safety initiatives and educational programs (i.e. challenges, workshops, health screenings).
  • Performs the daytoday coordination and administrative duties required of the programs, including data entry and reporting of participation and activity credits.
  • Organizes a group of "Wellness Champions" from across city departments to assist in promoting the wellness program.
  • Works with HR and wellness team members to incorporate the concept of wellness into various employee events as appropriate and to increase participation in health/lifestyle management programs, and likewise works with the safety action team to promote a safe working environment.
  • Researches health and fitness educational topics and identifies and recommends appropriate education materials.
  • Liaises with vendors to review and ensure performance and alignment with the programs' goals and objectives.
  • Conducts outreach activities to increase participation and reengage inactive participants.
  • Coaches employees with regard to health and wellness, personalizing as appropriate to increase participation and assist employees on reaching their wellness goals.
  • Drafts communications regarding the programs and specific programming to provide continuing education and capture the attention of employees.
  • Tracks and ensures the accuracy of the data pertaining to the wellness program activities and participant credits earned.
  • Coordinates meetings and events associated with the Safety Action Team.
  • Recommends and coordinates the city's annual safety recognition initiative.
  • Assists with workers' compensation claims review (e.g., first report of injury, supervisor investigation,) and communication between the employee and the city's workers' compensation insurance carrier.
  • Provides assistance with workers' compensation light duty cases.
  • Researches, compiles and summarizes a variety of information to prepare periodic and special reports to measure the success of the program, delivery and customer satisfaction. Maintains accurate records and files.
  • Assist with the preparation of reports and the delivery of presentations and other informational material as required by the department, city or outside agencies, including the data needed for the city's quarterly performance report.
  • Assists with the preparation of the annual budget regarding wellness and monitors expenditures. Reviews billing to ensure accuracy and recommends for payment.
  • Receives and responds to inquiries, concerns and complaints regarding assigned area of responsibility.
  • Attends staff, committee and professional meetings to exchange information. Attends technical or professional classes, workshops or seminars and reads professional journals to keep abreast of trends and practices in assigned areas.
  • Assists in the administration of additional programs within the department as needed.

Minimum Qualifications:


  • Associates in wellness, health promotion, health science, health education or closely related field.
  • Three (3) years recent experience in program management or assisting in the administration of programs, preferably in the area of employee wellness, safety or closely related field.
  • Professional training and/or certifications in the areas of wellness, nutrition, and/or fitness, or willing to obtain within 6 months of employment.
  • Working knowledge of PowerPoint, Excel and Word.
  • Above average communication skills both written and verbal, including the ability to present in front of small and large groups.
  • Valid Florida Driver's License.
  • In some cases, an equivalent combination of higher education and experience may be considered, provided that the education and experience is in a relevant and related field._
