SUMMARY

The HR & Administrative Assistant is responsible performing clerical, record management, and administrative duties to support the Executive Director and Director of Finance; assists with human resource duties including confidential work related to employee recruitment, timekeeping, selection, discipline, and related areas; and assists with front office, customer service, and program registration operations.


SUPERVISOR
This position reports to the Executive Director and Director of Finance.


ESSENTIAL FUNCTIONS

  • Perform all HR and administrative duties for the Executive Director and the Director of Finance.
  • Maintain high level of confidentiality, accuracy, and efficiency.
  • Ability to utilize resources to manage HR compliance.
  • Serves as the district lead for Paycom Platform.
  • Assist with new hire paperwork processing and personnel file management.
  • Contact new hires for missing documentation and ensure collection of missing items.
  • Provides support with the PATH program.
  • Manages staff training and certification records.
  • Track employee hours, FTE and benefit monitoring.
  • Serve as the official recorder of minutes at board meetings and draft accurate meeting minutes.
  • Post agendas and minutes according to the Illinois Park District Code.
  • Coordinate monthly Park Board packets and arrange delivery to the Commissioners.
  • Coordinate all legal postings.
  • Coordinate the retention and storage of records and documents of the District.
  • Assist with the coordination of Commissioner election preparation.
  • Acts as the backup FOIA officer.
  • Office equipment agreement management.
  • Manage district subscriptions, as well as purchases offices supplies.
  • Ability to cross train with other departments as necessary.
  • Other duties as assigned.

SECONDARY FUNCTIONS

  • Assist with special events as needed.
  • Assist other staff members as needed.
  • Review website as needed.

PHYSICAL DEMANDS, ENVIRONMENTAL REQUIREMENTS AND PROTECTIVE GEAR/CLOTHING

  • General work area is indoors, in smokefree environment, with controlled temperatures and fluorescent lighting.
  • Perform tasks that require walking, bending, stooping, standing, kneeling, climbing, and reaching and sitting.
  • Performs lifting tasks up to 25 pounds.

REQUIRED COMPETENCIES

  • Ability to maintain positive and effective working relationships with fellow workers, patrons, and the general public.
  • Ability to multitask.
  • Excellent customer service skills.
  • Ability to communicate effectively.
  • Ability to follow through on projects from beginning to end without immediate supervision.

HOURS
The Business Services Coordinator is a non-exempt position that works an average of 25-28 hours per week.

Scheduled work hours are based on board meeting deadlines and schedules are flexible when night or weekend shifts are required.

Regular Board Meetings are the second
  • Monday of each month and attendance is required.
- _Some meetings may fall on the third or fourth Monday of the month._

REQUIRED KNOWLEDGE
