  • What You Will Achieve
  • This role will provide administrative support to the SCD Marketing team(Marketing Team Lead and 14 team members)
  • This includes scheduling meetings and appointments; developing custom spreadsheets, presentations, Word documents, MS Office Org charts and travel arrangements as requested. This role will enter and reconcile financial requisitions. The role will also support onboarding activities and personnel development/training activities.
  • This role is critically integrated in the operational support function and be a significant contributor to the coordination and execution, and support of department operational goals.
  • As part of the administrative support team, this role will be recognized as an advisor to other colleagues due to their comprehensive knowledge and skills in their area and understanding of the larger organization. They will be innovative in identifying solutions to problems by taking a broader perspective that benefits the organization. They will encourage collaboration and communication within the team and across groups to influence desired outcomes. They will train others and provide guidance to the team that helps the team achieve our goal of creating breakthroughs that change patients' lives.
  • This individual will help in organizing team meetings, help with expense reports, catering for meetings, project creation in systems (e.g. Ariba), manage vendors, work on invoicing, and submit SOWs working with Procurement
  • This position reports to the Sr. Director, US SCD Marketing Lead.


  • ROLE RESPONSIBILITIES

  • Serve as the key point of contact for administrative support and activities related to the SCD Mmarketing Team.
  • Handle all duties with a high degree of integrity, professionalism, and confidentiality.
  • Create agendas and schedule and plan meetings across multiple calendars
  • Assemble PowerPoint or other presentation materials and plan / arrange for any meals/refreshments needed.
Organize documents and maintain an inventory of electronic and hard copy files allowing for easy access. Open and track all purchase orders and work with vendors to ensure invoices are paid in a timely manner; liaise with finance as needed. Manage/Open purchase orders through Pfizer's Ariba system and tracking invoices. Manage set-up and logistics for large or off-site meetings. Identify, evaluate, and partner with cost-effective vendors in the execution of the activities. Ensure accuracy of work and use judgment to determine work methods in different situations. Contribute ideas, fostering pace and enthusiasm, negotiating timely execution of work. Suggest and implement process improvements for administrative tasks. Prepare team communication material as required. Support on-boarding activities and team development and training. Facilitate resolution of difficult issues and problems that arise within scope of responsibilities. Provide administrative support and serve as backup administrative support for other departments, when necessary. Take personal accountability for quality of own work that impacts the department, manages own time, professional development, prioritize workflow. Support activities associated with site / department operational /cultural transformation goals.- BASIC QUALIFICATIONS- High School Diploma or GED. 6+ years' experience. Demonstrated planning and organizing skills. Demonstrated administrative experience with an ability to carry out all office functions proficiently, and to complete quality work on a timely basis. Excellent attention to detail and interpersonal skills. Excellent judgment as well as the ability to work with confidential documents and information. Proficiency in Microsoft Office Suite required, especially PowerPoint, Excel, Word, MS Office and other features. Prior experience as an Administrative Assistant or providing administrative support to executive leadership in a global organization preferred but not necessary. Knowledge of the pharmaceutical industry and healthcare environment preferred but not necessary. Exposure to SAP, Ariba, Concur, WorkDay preferred but not necessary
