Patient Coordinator/MA Job Description


The Patient Coordinator at Omi Psychiatry and TMS coordinates and performs various specialized patient treatments including TMS treatments, Spravato and ADHD testing for clients.

We are looking for an individual who desires to make a difference in patient care with a breakthrough medical device and treatments for various behavioral health conditions.

Health care experience is preferred but not required. The most important skill is communicating with patients and making them feel comfortable and safe. Strong attention to detail and initiative is required and the ability to follow a daily treatment checklist.

This individual needs to be able to respond effectively in an emergency situation for patient care, possess strong listening and communication skills, be attentive to detail, and have the willingness to learn the use of a medical technology.


Responsibilities include:

  • Greets, checksin and checksout patients
  • Handles new and existing patient inquiries
  • Manages software and systems associated with treatments
  • Follows TMS protocols and performs TMS procedure
  • Writes TMS treatment notes
  • Follows Spravato protocols and documents
  • Follows ADHD testing protocols
  • Ensures patient Electronic Medical Records (EMR) and correspondence are accurate and uptodate in the EMR system and makes updates as needed and appropriate
  • Verifies insurance benefits and obtains prior authorization for TMS, Spravato and ADHD testing
  • Ensures supplies are available for patient treatments
  • Collects and posts patient payments
  • Submits claims for billing and liaisons with insurance company.
  • Schedules, reschedules and cancels patient appointments
  • Completes client related task assigned by practice manager
  • Provides support to their assigned doctor and assists other staff as needed
  • Serves as Receptionist when needed
  • Respects patient confidentiality with a thorough understanding of the HIPAA laws

Qualifications and Requirements:

  • High School Diploma and/ or GED required; Completed college coursework, Medical Assistant Certificate or Associate's Degree preferred
  • A minimum of 1 year professional experience in a clinic or medical practice preferred

Knowledge, Skills and Abilities:

  • Knowledge of general clinic or medical practice processes
  • Explain and administer procedures to patients
  • Basic/Intermediate computer skills with a willingness to learn our intake and patient care systems
  • Strong verbal/written communication and listening skills; including excellent impersonal skills and telephone communication
  • Excellent organizational and time management skills
  • Ability to identify and resolve problems
  • Ability to effectively organize and prioritize tasks in order to complete assignments within the time allotted and maintain standard workflow
  • Ability to establish and maintain effective working relationships with patients, medical staff, and coworkers
  • Ability to maintain confidentiality of sensitive and protected patient information
  • Ability to work effectively as a team player and provide superior customer service to all staff and leadership

Job Types:
