As development and implementation of the programs produce greater production and revenue, additional hiring will occur to supplement and take over the initial phases developed in each area.

Ideally, the individual hired for this position will excel in their professional growth and have a strong desire to move into Management, to then supervise those programs that they were instrumental in creating and developing.


ESSENTIAL RESPONSIBILITIES AND ROLES

As Executive Assistant to Broker/CEO:


  • Brainstorm new ways of generating business or leveraging our business for growth and scale
  • Improve systems and operations for the team
  • Be oncall for Agents/Clients support when Broker is on vacation
  • Help with community activities we might become involved with to increase our visibility
  • Learn and Manage our Agent training platform
  • Assist in Agent onboarding and tracking their progress through our training program
  • Target prospective Agent recruits
  • Create list of clients/agents for Broker calls or handwritten notes
  • Remind Broker of appointments; confirm appointments with others
  • Install/remove keyboxes/signs on Broker listings
  • Runner and errand duties, as needed

Administrative Duties:


  • Learn new technology or skills (ongoing)
  • Filing and organization
  • Keybox checkout/in for Agents
  • Manage incoming leads and work with Agents to track conversions
  • CRM database input and maintenance
  • Assistance with CMA's (primarily for Leasing Quotes)
  • Draft Management/Listing Agreements and Quotes using established templates
  • Secure documentation and information prior to listing entry
  • Take listing photos for Broker listings and use photo editor to prepare for them for uploading to MLS, as needed
  • Input Broker listings in MLS
  • Send out postclosing survey to clients & Agents involved in the transaction
  • Maintain supply of prelisting & listing packets for potential listings (monthly)
  • Maintain signs and perform Keybox audits (monthly)
  • Manage Recruiting ads on jobsites (monthly)
