GENERAL PURPOSE:

Operates main switchboard:

answers incoming calls; greets and receives visitors; directs calls and visitors to the appropriate departments/persons; performs clerical tasks as assigned by the City Secretary and/or Deputy City Secretary.


SUPERVISION RECEIVED:
Works under the immediate supervision of the City Secretary.


SUPERVISION EXERCISED:
None.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
Answers incoming calls on main switchboard forwarding to appropriate departments.


Greets public and directs to appropriate department, building, city location, city official and/or answer questions about city services or schedules.


Performs various clerical tasks as assigned which include, but are not limited to, folding and stuffing letters; labeling envelopes; typing envelopes, labels and light correspondence; inserting supplements to departmental code books; typing taxi license; opening, stamping and routing departmental incoming mail; data processing.


PERIPHERAL DUTIES:
Operates fax machine.

Assists other departments with clerical duties as assigned by supervisor.


MINIMUM QUALIFICATIONS:

Education and Experience:
Graduation from high school or GED equivalent.

One year experience on multi-line main switchboard.

One year experience on data processing equipment, hardware and software.


Necessary Knowledge, Skills and Abilities:
Bi-Lingual (Spanish)

Typing 55 words per minute.

Knowledge of Microsoft Word, Adobe, and Excel

Working knowledge of geographic make-up of City.

Reading of newspapers, forms received from public and various city departments, maps, labels, handwriting.

Writing messages and directions.

Ability to reason when following simple verbal and written instructions, and determining needs of visitors.


SPECIAL REQUIREMENTS:


A person who possesses the interpersonal qualities of being outgoing, friendly, courteous, and conscientious with a genuine desire to assist others on the phone and/or in person.


TOOLS AND EQUIPMENT USED:
Switchboard/telephone, telephone head accessories, personal computer, ten key calculator, printer, fax machine, and office tools (letter opener, scissors, stapler, staple remover, tape dispenser, rubber stamps, ruler)

Non-physical demands could include, but are not limited to, time pressures, tedious and exacting work, performing multiple tasks simultaneously, frequent change in tasks/assignments.


WORK ENVIRONMENT:
Noisy/Distracting at times. Drafty and changing temperatures due to opening and closing of main entrance doors. Subject to dust and direct sunlight.
