Program Manager Job Description
Direct Supervisor:
Program Director
Essential Responsibilities and Job Duties:
- Supervise and manage the day-to-day operations of the Day Program (Group Day support services).
- Work alongside the operations manager to ensure proper staff coverage of individuals enrolled in the program and provide coverage as needed.
- Keep the Program Director informed of all program-related issues.
- Act as an activities coordinator and schedule person-centered daily activities
- Maintain and enforce compliance with all funding and/or licensing entities
- Assist with preparation for annual State Inspection for Licensing and ensure mínimal citations
- Plan for new and improved consumer service in accordance with best practices.
- Market FYLLC to include attending various provider fairs to obtain referrals.
- Review and evaluate prospective individuals; schedule meetings with prospective new individuals, facilitate completion of necessary documentation; facilitate a smooth transition and complete agency admission documentation.
- Complete admission and discharge planning for individuals entering or leaving the program and complete all necessary documentation on a timely basis.
- Oversee the scheduling of ISP meetings, the identification, development and implementation of goals, and the completion of required annual documentation for all individuals.
- Review individuals' files to ensure accuracy and that all information is complete.
- Complete reports, quarterly reviews, and monthly summaries in addition to attending meetings such as Individual Support Plans and Support Intensity Scale Assessments.
- Meet productivity standards for Day Support services
- Conduct weekly audits of staff documentation and provide feedback
- Work with the Director to oversee the management and accuracy of funding allocation
- Develop proposals and update paperwork and policies in coordination with the Program Director
- Ensure all paperwork is in the correct section of each individual's book
- Audit annual paperwork monthly to ensure that all paperwork is present; contact Support Coordinators, Guardian/AR and/or Residential for any paperwork needed.
- Activity Calendars completed and uploaded for review by the 15th of each month
- Conduct weekly phone calls to Support Coordinators, Families, Legal Guardians, etc.
- Completes phone communication logs during important phone calls
- Contact administration immediately for all incidents and follow Incident Reporting procedures
- Complete annual performance appraisals of assigned staff with the operations manager.
- Provide lobby coverage as needed.
- Manage the program's petty cash and provide monthly ledgers and receipts by the 10th of every month.
- Meet regularly for supervision with the Program Director.
- In conjunction with Human Resources and Risk Management, participate in related investigations.
- Refer all requests for references to Human Resources in a timely fashion.
- Participate and complete special projects as assigned.
- Other duties as assigned
Qualifications:
Must be 21 years or older
Bachelor's degree in mental health or social work, preferred
Valid driver's license, reliable transportation, and clean driving record
Strong oral and written communication skills
Strong organizational, computer, and time management skills required
Previous work in the ID/DD, mental health and/or social services/social work field, preferred
Knowledge of administrative and clerical procedures and systems such as word processing, outlook, excel, managing files and records, designing forms, and other office procedures and terminology
Demonstrates organizational, time management, managerial, and leadership skills
Ability to be flexible
Must pass a background screening
Pay:
$47, $55,000.00 per year
