    Description
    Valley National Financial Advisors is seeking a Front Office Coordinator to support our growing organization.

    The Front Office Coordinator is responsible for overall front desk activities including management of the reception area and meeting areas, customer service, phones, mail, and office supplies.

    You will act as the face of the firm and ensure clients receive a heartwarming welcome.

    As a Front Office Coordinator, you should combine a pleasant personality with a dynamic professional attitude to control the client experience.


    Education:

    High School Diploma (or GED or High School Equivalence Certificate) Some College Courses Associate's Degree (or other 2-year degree)


    QUALIFICATIONS / REQUIREMENTS

    • At least 2 years prior experience in an administrative role
    • Working knowledge of office equipment
    • Proficient in MS Office 365 (Word, Outlook, Excel)
    • Excellent time management skills and the ability to prioritize work
    • Attention to detail and problemsolving skills
    • Excellent written and verbal communication sills
    • Ability to maintain confidentiality

    ESSENTIAL DUTIES / REPONSIBILITIES

    • Open and close the office each day.
    • Answer telephones promptly and direct calls or relay appropriate messages or information.
    • Schedule and confirm meetings, appointments, and general calendar for our team of advisors.
    • Ensure reception area is tidy and continually stocked.
    • Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
    • Transmit information or documents to customers, using computer, mail, or facsimile machine.
    • File, scan and maintain records.
    • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
    • Monitor stock of office supplies.
    • Provides general clerical support to staff as requested or assigned.
    • Handles a variety of office duties and special projects, as needed.
