GSK is currently looking for a Lead Administrative Assistant in Upper Merion, PA. This individual will report directly to the Vice President, Site Director.

In conjunction with other administrative assistants, this position is responsible for providing day-to-day administrative and logistic support for the site as well as interacting with all levels of technical and management professionals.

The ability to maintain confidentiality and to take independent initiative concerning administrative tasks is crucial. Support includes proficiency in multiple software programs and ability to multi-task while maintaining a highly organized structure.


Key Responsibilities:


  • Directly manage and coordinate scheduling and logistics for various members of the Site Leadership Team including the Site Director
  • Purchase various items for departments and process invoices for Procurement Card payments, ensuring appropriate charges to budgets in a timely manner
  • Manage logistics in support of recruitment efforts for temporary and fulltime employees including scheduling appointments, arranging transportation and housing, and coordinating interviews.
  • Coordinate domestic and international travel for the Senior Team and prepare expense reports using GSK's online system.
  • Manages and coordinates large, complex meeting scheduling
  • Manages corporate cards through adhering to policies.
  • Assists in maintaining Admin team website via SharePoint.
  • Processes Purchase Requests and expense reports for site leaders
  • Gather data and prepare presentations utilizing software programs, such as Excel, PowerPoint, and other digital platforms

Basic Qualifications:


  • We are looking for professionals with these required skills to achieve our goals:_
  • HS Diploma
  • 3+ years administrative experience including involvement in a departmental environment.

Preferred Qualifications:


_ If you have the following characteristics, it would be a plus:_

  • BS/BA degree preferred
  • Excellent systems knowledge base
  • Microsoft Office Suites, Share Point, and other systems.
  • Excellent customer service skills.
  • Excellent Communication
  • Ability to maintain confidentiality
