Mail and Reception SupervisorThe Mail and Reception Supervisor is an onsite management position.
This role is responsible for managing the operations of the Mail and Reception Team, including leading, mentoring, and supervising personnel and evaluating and maximizing the productivity of personnel, both individually and as a group, to ensure that the team functions at the highest possible level consistent with the firm's values.
This job requires strong organizational skills as variable mail and call volumes may require re-prioritizing the processing of incoming mail to accommodate flow.
Proficiency in operating scanners and answering busy telephone lines is a must.The Mail and Reception Supervisor is a direct report of the Director of Finance and Administration.
To that end, the Mail and Reception Supervisor will participate in the weekly Finance and Administration Department meeting, conduct their own Mail and Reception Team meeting, and may consult on as-needed basis with other members of the leadership team or the IT Department.
Process ManagementThe Mail and Reception Supervisor should have some background in process management and is responsible for:
- Developing and maintaining the policies and procedures applicable to Mail and Reception staff, including measurables and scorecards for the team and staff;
- Ensuring compliance with those policies;
- Conducting Mail and Reception team meetings;
- Attending weekly Finance and Administration meetings
The Mail and Reception Supervisor should have some background in personnel management and will be responsible for overall personnel management for the Mail and Reception Team:
- Determining firm needs for Mail and Reception Team staff in coordination with the leadership team;
- Interviewing applicants for Mail and Reception Team staff who are their direct reports;
- Creating and maintaining training programs for direct reports;
- Leading, mentoring, and evaluating direct reports;
- Counseling direct reports who are not complying with our procedures and requirements and taking appropriate disciplinary action when necessary; and
- Handling termination of employment of direct reports in consultation with the leadership team.
