Job Duties


The Virginia Works Headquarters Office is seeking a highly motivated and skilled professional to serve as an Administrative and Office Specialist in the Registered Apprenticeship division/Service Trade office.

There are routine duties and special projects requiring flexibility and the ability to manage multiple requests. This position provides back-up to the program's functions that are handled by other technicians on staff.

These duties include customer service contact with the employers and/or apprentices who participate in the program, support to the Service Trade Specialist(s), Assistant Director and Educational Specialists as well as assistance to the Registered Apprenticeship Consultants in the field.

Requires a self-starter, and team player.

Minimum Qualifications

  • The ability to always demonstrate grace under pressure and professionalism, as well as the ability to maintain a "cando" attitude with a calm demeanor at all times.
  • Strong commitment to efficiently serving both internal and external customers. Strong, effective verbal and written communication skills, as well as interpersonal and customer service skills.
  • Experience working both as an active and contributing team member as well as independently.
  • Ability to exercise discretion and maintain confidentiality.
  • Experience providing administrative support to include:
  • Preparing business letters. Ability to create letters, memos, reports, etc. as requested.
  • Maintaining inventory of office supplies.
  • Data entry and database proficiency in a Cloud environment.
  • Managing records and the ability to manage computer drives, folders, division publications.
  • Attentiontodetail.
  • Fully comfortable making and returning phone calls with a strong grasp of telephone etiquette.
  • Handling mail from USPS as well as intraagency in a timely fashion.
  • Proficiency in Microsoft Office Suite programs including spreadsheet and database duties, as well as composing grammatically correct documentation, proofreading, and mailmerge.
  • Ability to troubleshoot and resolve issues regarding apprenticeship registration or completion activities.
  • Ability to monitor and update curriculum lists on a regular basis.
  • Ability to create and maintain in an Excel format the curriculum and coursework that pertains to Registered Apprenticeship by provider and retrieve information that keeps curriculum information current.
  • High school diploma or equivalent.

Additional Considerations

  • Fluency speaking, reading, and writing Spanish is a plus.
  • Familiarity with website postings and maintenance of content.

  • Special Requirements:
  • Possess a valid driver's license or have the ability to obtain a valid driver's license within 30 days of hire
  • Possess the ability to occasionally travel overnight
  • Successfully complete a criminal background investigation
  • Successfully serve a 12month probationary period effective from the date of employment if beginning employment as an original hire or reemployment
