    JOB DESCRIPTION - Administrative Secretary I, II, III, IV DEFINITION The Administrative Secretary position requires the performance of a variety of clerical and complex secretarial work in a school or departmental location with related services to children at school.

    Secretary I - personnel employed to transcribe from notes or equipment receive callers, perform clerical and secretarial tasks, schedule appointments and IEPs, prepare reports and operate office machines and equipment, support for Secretary II, III, IV.

    Secretary II - personnel employed to perform general clerical and secretarial tasks, transcribe from notes or equipment, schedule appointments, and IEPs, prepare reports, receive callers and refer as is appropriate, operate office machines and equipment, keep records and process routine correspondence, provide first aid and other health-related services to children at school, support for Secretary I, III, IV.

    Secretary III - personnel employed to perform general clerical and secretarial tasks, transcribe from notes or equipment, schedule appointments, and IEPs, prepare reports, receive callers and refer as is appropriate, operate office machines and equipment, keep records and process routine correspondence with primary responsibility for school or counseling office support, support for Secretary I, II, IV.

    Secretary IV - personnel employed to perform general clerical and secretarial tasks, transcribe from notes or equipment, schedule appointments, and IEPs, prepare reports, receive callers and refer as is appropriate, operate office machines and equipment, keep records and process routine correspondence, responsible for financial transactions, record-keeping principles, and procedures, administrative support, distribution and monitoring for workload in the school office, support for Secretary I, II, III.


    SUPERVISION RECEIVED AND EXERCISED:
    Site principal or assigned administrator.

    EXAMPLES OF RESPONSIBILITIES/DUTIES - May include additional duties as assigned and are not limited to the following: Maintains confidentiality, integrity.

    Establishes and maintains effective relationships with students, staff, and community. Explain school policies, rules and regulations in response to inquiries, refer inquiries as appropriate. Respond to questions and concerns of parents and students; refer to appropriate school personnel as appropriate.

    Provides clerical, secretarial and administrative support; prepares documents, computer data entry, copy/duplicate materials, filing Process information related to the area of assignment; documents, transactions, student files, school rosters, Act as a receptionist; screen calls and visitors, refer inquiries as appropriate.

    Order and inventory office and classroom supplies. Perform related duties as assigned.

    MINIMUM QUALIFICATIONS Knowledge of:
    Correct English usage, grammar, spelling, punctuation, and vocabulary.

    Modern office practices, procedures, and equipment Ability to:
    Experience and Training.

    A high school diploma or equivalent and any combination of education and experience that would provide the qualifying knowledge and abilities.


    Special Requirements:
    Secretary I. Possession of or ability to obtain valid California driver's license. Knowledge of software systems for word documents, spreadsheets, and database files. Secretary II Possession of or ability to obtain valid California driver's license. Knowledge of software systems for word documents, spreadsheets, and database files. Possession of CPR Certificate. Possession of valid first aid qualification/Standard Red Cross First Aid Certificate. Secretary III Possession of or ability to obtain valid California driver's license. Two years of responsible secretarial and clerical experience as Administrative Secretary I, II, or related experience. Knowledge of software systems for word documents, spreadsheets, and database files. Secretary IV Possession of or ability to obtain valid California driver's license. Experience as Administrative Secretary III or related similar position. Knowledge of use for software systems including word documents, spreadsheets, and database files. Knowledge of principles and practices of accounting and financial record-keeping, budget development, and monitoring

    Physical Requirements:
    Ability to exert 50 pounds of force frequently to lift, carry, push, pull, or otherwise move objects.

    Ability to stoop, climb, stand for long periods and perform physical labor, physical mobility, and stamina to participate in activities that may be strenuous.

    Resume and 3 current letters of reference. The new employee substitute packet and I-9 eligibility are completed before employment. Applicants must be available to work at least some portion of each week, Monday through Friday. Payroll paid monthly on the 10th.
