Responsibilities and Duties:
- Welcome and assist guests/clients as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures).
- Order front office supplies and keep an inventory of stock.
- Update calendars and schedule meetings for executives.
- Arrange travel and accommodation and prepare vouchers.
- Keep updated records of office expenses and costs.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
- Order lunch for clients as needed.
- Assist HR with admin duties as assigned.

Qualifications/Preferred Requirements:
- Exceptional Interpersonal Skills, Phone Etiquette and Appointment Scheduling
- Excellent communication, written and verbal skills
- Excellent organizational skills
- Professional attitude and appearance
- Multitasking and timemanagement skills, with ability to prioritize tasks
- Ability to work independently and as part of a team
- Ability to be resourceful and proactive when issues arise
- Ability to handle confidential information with discretion
- Front Office Representative, or similar role
- Proficiency in Microsoft Office Suite and Mac
- Handson experience with office equipment (e.g. fax machines and printers)
- Customer service focused attitude
- High school degree: additional certification in Office Management is a plus
- Able to contribute positively as part of a team, helping with various tasks as required.
- Bilingual (English and Spanish) a plus
