Under general supervision and on own initiative performs administrative and business tasks that are commensurate with and in support of the Production and leadership teams of assigned Division(s).

Assists with manpower planning, Manning schedules, compliance, and fielding inquiries.

Essential Functions

  • Partners with Team Leaders and Managers to schedule and plan manpower requirements. Partners with shift team leaders regarding running lines and special staffing needs for the shift. Includes posting and distributing Manning schedule and Manning list.
  • Updates and utilizes the employee equipment qualification matrices.
  • Completes shift summary using absence report; calculates shift totals and overtime rates. Notes and reports attendance incidents.
  • Participates approving, processing, and tracking vacation hours for the union work force.
  • Responsible for employee timecards and payroll functions in ADP for Operations team members. Includes completing daily and weekly timecard reconciliation payroll process for the union work force.
  • Responsible for compiling data and constructing sitespecific reports on a weekly basis.
  • Participates in FMLA and employee hours tracking leveraging ADP software.
  • Prepares simple to complex presentations from rough outline via MS-PowerPoint. Also prepares materials for training sessions or other meetings, to include agenda, binder, and presentation preparation.
  • Tracks and prepares templates related to employee documents. Includes establishing and maintaining files, binders and records including employee personnel files.
  • Facilitates new employee onboarding training documents and evaluations.
  • Works with sensitive information and documents and maintains confidentiality.
  • Maintains Employee Communication Board.
  • Reads and interprets Collective Bargaining Agreement for the Union.
  • Monitors conference room calendars, schedules meetings throughout the facility, arranges meetings for leaders and coordinates room preparation and catering as needed. Also responsible for assisting with department event coordination and facilitation.
  • Processes expense reports for employees and leaders, processes invoices, and completes data entry tasks.
  • Screens telephone calls, receives, and directs visitors, and resolves routine and some complex inquiries. Resolves most questions and problems in partnership with Operations Leaders and HR and refers only the most complex issues to higher levels.
  • Event planning for company events that may encompass site selection, contract negotiation, site preparation, and catering coordination.
  • Provides general administrative support and backup to other administrative assistants in the department.
  • Responsible for ordering supplies, lunches, arrange for equipment maintenance, and handles meeting and facility arrangements.
  • Contributes to maintaining aesthetics of office (clean, safe) environment.
  • Serve as a liaison between production employees and Centers of Excellence such as IT, payroll, benefits, etc.
  • Conducts data entry including job postings, interview schedules, and training records.
  • Manages projects with longer term focus while maintaining day to day tasks.
  • Maintains satisfactory attendance, to include timeliness.
  • Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations.

Minimum Qualifications

  • High school diploma or Stateissued equivalency certificate plus experience providing administrative support, production/operations support, payroll support, and/or customer service experience.
  • Experience in the use of business software (Microsoft Word, Excel, Outlook, and PowerPoint at a basic level).
  • Required to travel for special events as needed.
  • Required to work overtime and weekends when necessary.
  • Experienced in reading and comprehending simple instructions, correspondence, and memos.
  • Experienced in writing simple correspondence and procedures.
  • Skilled in adding, subtracting, multiplying, and dividing in all units of measure, using whole numbers, common fractions, and decimals.
Preferred Qualifications

  • High school diploma or Stateissued equivalency certificate plus 1 years of administrative support, production/operations support, payroll support, &/or customer service experience.
  • Experience handling sensitive and confidential information.
  • Experience working with ADP timekeeping software.
