Summary of Position:


Under the direction of the Director of Finance and the Field Trip Coordinator for Blue Ridge Academy, this position is responsible for supporting families and staff throughout the entire field trip process while providing excellent customer service.

The Field Trip Specialist will plan, organize, and host Blue Ridge Academy field trips. They will also process all field trip orders for families and provide or distribute supporting field trip artifacts.


Duties and Responsibilities:


  • Responsibilities to school and staff
  • Attends all required meetings and trainings
  • Completes all work thoroughly
  • Manages time effectively to meet all necessary deadlines
  • Provides excellent customer service

  • Review HST and parent field trip request surveys
  • Ensure field trip requests align with approved field trip guidelines
  • Plan, organize, and host/cohost 46 field trips per month in September, October, January, February, April, and May, 35 field trips per month in March, and 24 field trips per month in November and December, cohosting field trips are assigned by the coordinator
  • Contact and research field trip vendors for educational appropriateness, scheduling and payment information
  • Upload the attendee field trip roster on the business day after the field trip
  • Attend field trip office hours for parents and HSTs as scheduled by the coordinator
  • Process field trip orders in Procurify
  • Order field trip artifacts for attending students to the Blue Ridge office address or your personal address for you to bring to applicable field trips
  • Attend and host/cohost inperson field trips within Los Angeles County, Ventura County, and surrounding cities within 25 miles of Los Angeles and Ventura Counties
  • Follow all field trip host tasks, including but not limited to checking in families on the school device, communicating with the vendor, providing lastminute information to families or vendors, and distributing field trip artifacts. Sticker name tags, and feedback surveys, taking photos on the field trips, etc.
  • Bring and maintain access to the first aid backpack at all hosted field trips
  • Wear or have visible at least one identifiable Blue Ridge gear for Blue Ridge families to find you, for example, shirt, jacket, hat, backpack, flag, etc.
  • Stay the duration of the scheduled field trip
  • Display the QR code on the school device for families to scan and complete the feedback survey or provide the printed version
  • Upload field trip photos to the shared Drive within 24 business hours
  • Provide excerps for the Parent Bulletin and Weekly update monthly
  • Complete audit surveys for cancellations as needed
  • Communicate with vendors as needed for ordering instructions, revisions, and cancellations
  • Provide feedback to the coordinator for possible improvements to support the field trips program.
  • Support other Blue Ridge Academy departments as assigned from June through August, such as processing orders for enrichment, helping with compliance tasks, or helping out in the lending library.

Qualifications:


  • One to three years of relevant work experience
  • Ability and comfort in working in a fastpaced, entrepreneurial environment, with a demonstrated ability and desire to flexibly shift responsibilities over time as the role and department evolve.
  • Excellent analytical and databased decisionmaking skills
  • Strong customer service orientation in approach to working with teachers, school administrators, and families.
  • Proficient keyboarding and file maintenance skills
  • Strong organizational, communication, and interpersonal skills

Preferred Qualifications:


  • Working knowledge of technology and technological platforms including but not limited to: Google Suite (Gmail, Excel, Google Docs/Word, Google Forms), and Microsoft OS platform.
  • Professional etiquette with regard to technology use.
  • Excellent written and oral communication skills.
  • Experience working in virtual education settings.
  • Demonstrate the ability to work effectively as a team member, work independently, and be selfmotivated.
  • Demonstrate the ability to quickly grasp new techniques, deal with rapid changes and events, and remain calm in stressful situations.
  • Promote a positive atmosphere.
  • Demonstrate flexibility in the workplace.

  • Associate degree required or Higher
