BASIC FUNCTION:


The Clinical Business Office Manager position oversees the day-to-day operations of the dental office, serving as a liaison between the dental team and administrative staff.

Proficiency in credentialing, comprehensive knowledge of various dental insurance plans, and expertise in dental insurance claims management, including PPO insurance plans and billing, are essential for this role.


SUPERVISORY ACCOUNTABILITY:


This position entails supervising front-end staff under the guidance of the Director as well as working with Clinical Dean to manage the back office business processes within the College of Dentistry.


NATURE AND SCOPE:
Internal contacts encompass administrators, faculty, staff, students, and patients of the College and University.

External engagements involve representatives from federal and District of Columbia government, other educational institutions, professional associations, consultants, vendors, alumni, and the general public.


PRINCIPAL ACCOUNTABILITIES:

  • Collaborate with front office staff to fulfill general administrative duties.
  • Supervise front office personnel under the guidance of the Director to ensure smooth and efficient operations in adherence to practice policies.
  • Maintain regular communication with senior leadership.
  • Facilitate staff training and rotation to ensure crossfunctional proficiency.
  • Ensure compliance with CPR, OSHA, and HIPAA guidelines as per ADA standards.
  • Monitor adherence to practice policies and procedures.
  • Oversee onboarding, training, and development of staff to uphold performance standards.
  • Address patient issues promptly and accurately in compliance with healthcare regulations and dental board standards.
  • Safeguard patient data in accordance with privacy and security regulations.
  • Ensure completion of necessary patient forms, including medical history, financial policy, fee sheet, and treatment consent.
  • Cultivate a conducive environment for optimal patient care.
  • Supervise daily deposits and review endofday reports for accuracy.
  • Review and sign treatment plans as required.
  • Conduct monthly quality checks of clinic records in Axium.
  • Manage monthly reports, including assigned claim aging, credit balance, and treatment plan aging.
  • Update insurance fee schedules and practice fee schedules as directed.
  • Correspond with faculty and students to ensure timely submission of charges as directed
  • Review patient accounts to ensure correct dental claims are filed by deadlines to allow correct payment for services rendered.
  • Ability to review and interpret dental Explanation of Benefits (EOBs) to compare charges in patients' accounts; follow up on outstanding or pending claims to ensure payment.
  • Review rejected/invalid claims and monitor aging report for resubmission of denied claims.
  • Experience in posting insurance claim payments and adjustments.
