The
Practice Records Coordinator will support the International Trade practice group.


RESPONSIBILITIES/ESSENTIAL FUNCTIONS:


  • Maintains case/segment materials for all International Trade proceedings, including:
  • Monitor and triage the International Trade practice notices of electronic filing (NEFs) and relevant court/agency e-filing systems to identify new electronic filings and service notifications
  • Retrieve court/agency documents from various efiling systems
  • Assemble, name by practice standard, and save to appropriate case/segment repositories (DMS and file shares)
  • Identify designated highpriority documents and notify International Trade supervisory team for appropriate handling, deadline docketing, and circulation to case attorneys
  • Develops and maintains current knowledge of electronic filing system requirements at Department of Commerce (ACCESS), International Trade Commission (EDIS), Court of International Trade (PACER), Court of Appeals for the Federal Circuit (PACER), and other practicerelevant jurisdictions
  • Diligently adheres to Administrative Protective Order (APO) requirements and follows internal protocols for safe handling of documents
  • Assists the International Trade attorneys and practice supervisory team with tracking deadlines for destruction of materials and disposing of records based on APO requirements
  • Evaluates International Trade records management needs to develop and implement streamlined workflows, standards, and procedures in consultation with the APO Attorney and Practice Manager
  • Records and promptly submits time entry for billable work on schedule
  • Other duties and special projects as assigned by attorneys, supervisors, or Practice Support management

EDUCATION AND EXPERIENCE:


  • High school diploma or equivalent required
  • Experience with recordkeeping or file maintenance strongly preferred
  • Relevant experience in a legal or professional/business services sector strongly preferred

KNOWLEDGE, SKILLS, AND ABILITIES:


  • Ability to communicate professionally and effectively, both in oral and written form
  • Ability to multitask, prioritize/coordinate deadlines, track progress of tasks, and use time efficiently
  • Demonstration of strong attention to detail and accuracy and comply with firm recordkeeping standards
  • Must maintain confidentiality of workrelated information and materials, particularly provisions related to Administrative/Judicial Protective Orders (APO/JPO)
  • Previous experience with or aptitude for learning new electronic filing systems (e.g., PACER, ACCESS, EDIS, etc.) and file sharing platforms (e.g., HighQ, TitanFile, Box, DropBox, etc.) is preferred
  • Must establish and maintain effective working relationships in or out of a team environment
  • Consistently demonstrate growth in substantive skills and knowledge of practice area
  • Flexibility and willingness to work overtime on an as needed basis
  • Must be able to travel locally

WORK ENVIRONMENT:


  • Position operates in a professional office environment which is usually quiet to moderate
  • Position routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets
  • Position requires that the employee be able to multitask in a fastpaced work environment

PHYSICAL DEMANDS:


  • This position is primarily a sedentary position. However, some duties and responsibilities may require the employee to lift files, open filing cabinets, bend or stand, reach with arms and hands, climb or balance, occasionally move about to access office equipment, file cabinets, etc.
  • May require employee to carry or lift items weighing up to 30 pounds
