Position Description
The Proposal Coordinator is responsible to prepare proposals in response to client requests for information and/or Request for Proposals (RFP) for domestic and international projects.
Essential Functions
- Maintain, update, and report from the proposal databases (e.g. SharePoint, SalesForce)
- Log all new RFP's and other requests into the proposal databases and distribute appropriately (e.g. Proposal Team).
- Coordinate proposal assemblage by reviewing RFP's, and then developing the proposal matrix to determine necessary proposal content and preparation schedule that will fully respond to the RFP.
- Interface with both internal functional groups and external stakeholders to compile the required proposal information.
- Support the development of technical and commercial deliverables.
- Meet response deadlines by coordinating the completion of all proposal requirements (e.g. reproduction, special instructions, forms, shipping).
- Organize all documents into a final proposal format.
- Preserve all electronic files and ensure that the final copy of the submitted proposal is logged and subsequently filed in the proposal databases.
- Support the periodic corporate registration/certification/licensing issues that typically arise for international projects.
Qualifications
- Excellent written and verbal communication skills
- Prior proposal/business development, contracts management, estimating, or finance and/or accounting experience for domestic and international projects.
- Strong interpersonal, organizational and leadership skills
Education
- Associates degree or a commensurate combination of education and experience required. Degree preferred.

- Ability to compile (from multiple sources) and modify documents to produce a complete response package with a strong understanding of the industry supply chain processes and terminologies.

Work Environment/Physical Demands
- Working conditions are normal for an office environment.
- Frequent sitting and operating a computer.
- Must be able to use body members to work, move or carry objects or office materials.
- Must be able to exert up to 10 pounds of force occasionally.
- Physical demands requirements are at levels of those for sedentary work.
