    Job Title: Patient Coordinator I
    Location: Manhattan, NY
    Duration: 3 Months (extendable)
    Shift: 8-4 / 9-5 Day Shift

    Description:
    The Patient Coordinator I serves as the initial point of contact for patients, either in-person or via telephone, within a medical practice or call center setting. This role encompasses various administrative tasks aimed at ensuring seamless patient experiences, including updating patient demographics and insurance information, coordinating patient arrivals, and facilitating necessary paperwork. The Patient Coordinator I plays a crucial role in maintaining efficient practice operations and providing exceptional patient service.

    Duties and Responsibilities:

    • Greet patients warmly and update their insurance and demographic information in the practice management system.
    • Verify patient insurance to ensure compatibility with the physician they are scheduled to see, coordinating with billing staff as necessary.
    • Communicate patient arrivals to relevant staff members and ensure the availability of medical records for the physician.
    • Process and update HIPAA-related paperwork and institutional forms as needed.
    • Collect or retrieve referrals and insurance authorizations as required.
    • Monitor the status of the waiting room regularly and provide patients with wait time updates.
    • Collect patient co-pays as directed by billing staff, following established cash-control procedures.
    • Schedule follow-up appointments for patients and provide guidelines for requesting medical records if necessary.
    • Perform basic charge entry tasks or enter payments collected from patients, and prepare cashier's deposits.
    • Answer incoming calls for the practice, schedule appointments, and may initiate reminder calls for next-day appointments.
    • Adhere to all HIPAA and other regulatory requirements regarding the handling of protected health information (PHI).

    Work Environment:
    The work environment requires manual dexterity for handling charts and using office equipment, including computer keyboards and calculators. Candidates must be capable of stooping, bending, sitting, standing, or moving around for extended periods. Additionally, the role involves interacting with patients in the waiting room area and maneuvering to photocopy insurance cards.

    Skills:

    • Minimum of 1 year of experience in a physician practice setting.
    • Completion of at least one week of on-site training provided by the practice.
    • Preferably, experience in a medical office environment using computer systems for physician scheduling.
    • Proficient keyboarding skills; familiarity with IDX or other practice management systems is advantageous.
    • Strong interpersonal and communication skills, with the ability to effectively engage with multicultural and language-diverse patients.
    • Excellent telephone etiquette and customer service abilities.
    • Knowledge of medical terminology is highly desirable.
    • Adaptability to a dynamic and evolving work environment.

    Education:
    High School graduate or equivalent (GED).
