Non-Exempt (Temporary for one year from the start date)


Pay Range:
$ $25.00 an hour, commensurate with experience.


Reports to:
Immigrants' Rights Senior Managing Attorney

About the Role:

CAIR-CA provides legal immigration services to refugees, asylum seekers, and the diverse immigrant community in California, The IRC Administrative Coordinator will report to the Immigrants' Rights Senior Managing Attorney and is primarily responsible for ensuring the smooth operation of the department and effective case management.

The IRC Administrative Coordinator supports the Immigrants' Rights Center team by handling daily administrative tasks, and non-legal client communications.


DUTIES AND RESPONSIBILITIES

  • Directing incoming communications to appropriate staff as needed.
  • Drafting and sending out client correspondence, including retainers, referrals, and closing letters.
  • Mailing outgoing correspondence.
  • Assist with organizing and maintaining all department documents including scanning, uploading, and filing physical and electronic copies.
  • Supporting grant deliverables including timely collecting and reporting data and statistics as required by grant reports.
  • Help update client data in the case management system, electronic files, and physical file.
  • Providing translation and interpretation assistance as needed.
  • Providing support with the onboarding of new department hires, clerks, and interns and organizing onboarding schedules and training.
  • Assisting with organizing immigration events, clinics, forums, and outreach efforts.
  • Assisting with calendaring and scheduling internal and external meetings.
  • Providing additional support to immigration staff with administrative tasks as needed.
  • All CAIR staff are required to help with fundraising efforts as required.
  • CAIR staff may be required to attend some weekend or weekday evening events.

REQUIRED QUALIFICATIONS

  • At least one year of experience in operations or administrative coordination.
  • At least one year of experience in immigration services is preferred.
  • Knowledge and exposure of legal services at a nonprofit or private firm that provides immigration services is preferred.
  • Experience with data entry and grant report is preferred.
  • Conversational proficiency in one of the following languages: Arabic, Farsi/Dari, Pashto, Urdu or Spanish is preferred.
  • Experience working with nonprofit organizations and the Muslim community is preferred.
  • Experience working with the American Muslim community and/or working with people from diverse cultural and socioeconomic backgrounds and/or nonprofit organizations preferred.
  • Working knowledge of Microsoft Office Suite.
  • Superb organizational and time management skills, with a strong attention to detail.
  • Excellent verbal and written communication skills.
  • Professional integrity and ability to maintain the confidentiality of sensitive data.
  • Strong organizational skills, detailoriented, ability to multitask, and meet deadlines.
  • Ability to work independently, be flexible, and work well under pressure in a fastpaced team environment.
  • Ability to interface with community members, clients, and potential clients with a high degree of professionalism and care.
  • Personal accountability and ability to take the initiative and direction.
  • Access to a working vehicle and the ability to drive throughout the Greater Los Angeles Area.
