Overview:

The Executive Booking Assistant is required to be adept at administrative tasks, while drawing on strong interpersonal skills and proven sales ability in order to maximize the usage of space in the at the CORE facilities in general.

The Executive Booking Assistant will need to understand the complexities of a multi-use sport and entertainment facility and be expected to assist with all major events.

This role will pay a salary of $33.00 to $37.50

Responsibilities:


  • Coordinate and assist GM in all Booking inquiries within RICC.
  • Help prepare, administer and coordinate all booking administrative tasks including contracts, booking confirmations, insurance and deposits.
  • Work alongside the Events Manager and other departments where necessary in the execution of all functions of events.
  • Deal with historic rental groups, addressing concerns and complaints.
  • Pursue new rental opportunities when required with potential corporate and community clients.
  • Assist GM in planning and implementing programs and events at the facility to increase usage.
  • Maintain awareness of budget expectations and work towards achieving them.
  • Keep accurate and easily accessible records of rentals, including relevant customer information.
  • Liaise with operations and other appropriate departments to ensure the smooth delivery of events
  • Introduce new program ideas and special events.
  • Develop and maintain working relationships and regular communication with public, private and community groups
  • Other duties as required.

Qualifications:

  • Direct booking and/or event experience preferred.
  • Proven planning, and organizational skills
  • Strong interpersonal, verbal and written communication skills
  • Some travel and weekend work maybe required
