JOB TITLE:
Parish Administrative Assistant I
HOURS:
Full Time - 30 hours per week
Sunday 8am to noon, Monday through Thursday 9am to 3:30pm
REPORT TO:
Business Manager**
JOB SUMMARY: The primary purpose of this position is to provide administrative support to the Pastor, Business Manager, office staff and the parish.
MAJOR RESPONSIBILITIES:
Administrative Support:
- First point of contact at Our Lady of Hope Parish by greeting visitors and answering phone calls in a welcoming and timely manner. Address their needs or redirect their requests to the appropriate staff personnel in an efficient and professional manner.
- Address and/or forward all incoming parish correspondence as directed in a timely manner.
- File pertinent parish documents and maintain parish files as needed.
- Maintain parish census and envelope contribution databases as needed.
- Create and distribute the parish bulletin weekly as directed.
- Order office and cleaning supplies as requested.
- Operate office equipment such as photocopier, fax machine, folding machine, and scanner and ensure they are in good working order.
- Back up for Parish Administrative Assistant II duties.
- Performs other assigned duties as requested by the Pastor, Associate Pastor, Business Manager and/or Director of Religious Education.
- Actively participate in staff meetings.
Liturgical Support:
- Track and maintain all pertinent funeral records upon occurrence. Create funeral programs upon occurrence.
- Schedule anniversary/memorial Masses according to parish guidelines when requested by parishioners.
- Accurately maintain all sacramental records in appropriate books and parish databases, and generate sacramental certificates as requested.
- Create liturgical programs and/or handouts as needed.
- Create and distribute Mass Prayers of the Faithful and Announcements weekly and for periodic Holy Days.
- Order liturgical supplies as requested.
- Contact local hospitals 2x per week to see if parishioners are admitted.
REQUIREMENTS
- General understanding and respect for the Catholic faith and its teachings.
- A commitment to the church and its education program.
- Travel between all 3 churches in Grafton is necessary.
- Light lifting up to 20 lbs. and mobility about the facilities is required.
Qualifications:
- Hands on experience with MS Office Suite (Outlook, Word, Excel, PowerPoint) and texting.
- Familiarity with Parish Data Systems Applications a plus.
- Demonstrate effective communication, written and organizational skills.
- Proven team player willing to take initiative and direction.
- Proven ability to prioritize assignments.
- Proven ability to multitask.
- Demonstrate attention to detail and accuracy.
- Ability to maintain confidentiality.
- Must pass CORI check, complete Code of Conduct paperwork and attend Safe Environment Training upon hire and also renew CORI compliance every 5 years.
Education/Experience:
- High school degree required. Associate degree or work experience equivalent preferred.
- 3+ years experience in an office environment
- 3+ years experience in a customerfocused environment.
- Previous experience working in a confidential environment.
- Previous experience as a secretary/receptionist/administrator.
- Familiarity with Diocesan and Parish policies is preferred. (If not familiar, must learn these policies as it applies to the performance of duties.)
