About the position:

We are seeking an Executive Administrative Assistant to support our Vice-President of Energy Solutions Supply Chain & Leasing.

The Executive Administrative Assistant will perform a variety of diverse, often confidential clerical and administrative duties and related projects in support of a vice president and their respective departments.

Performs work under limited supervision. Handles complex issues and problems and refers only the most complex issues to others.


Essential Position Duties:

  • Proactively serves as assistant to the principal to enable effective prioritization, time management and execution of duties.
  • Manages all calendar appointments of the principal to ensure executive participation where required. Schedules meetings and events by coordinating with outside parties and venues. Resolves meeting conflicts. Coordinates appointments across time zones to ensure executive availability.
  • Handles special administrative projects, such as business proposals, preparation and maintenance of department budgets and weekly reports. Monitors reoccurring data and brings unusual activity to the attention of the principal.
  • Screens phone calls and visitors, takes messages and transfers calls. Interfaces with internal and external customers. Resolves routine inquiries/issues.
  • Schedules and confirms appointments, arranges meetings, and rooms, and coordinates and arranges domestic/international travel.
  • Arranges catering for onsite and offsite meetings.
  • Takes notes and action items for offsite meetings; distributes and follows up with owners.
  • Processes department paperwork and obtains appropriate approvals in a timely manner.
  • Orders and maintains stock of office supplies.
  • Composes routine and complex correspondence and reports for the department that often integrates material from a variety of sources.
  • Develops and prepares visual aids such presentations, charts, and graphs for presentation at highlevel meetings that often involve outside companies.
  • Establishes and maintains a variety of files and records. Maintains control files of matters in progress and expedites their completion.
  • Handles sensitive information in a professional, confidential manner.
  • May respond to and resolve corporate personnel policy related inquiries and questions in absence of the principal.
  • May provide leadership, coaching, and/or mentoring to others.
  • Performs related work as assigned.
  • Regular attendance in the workplace is required for interaction with principal and others to support teamwork.

About you:


  • An Associate's Degree is preferred.
  • Six or more years of office related experience required.
  • Four years of experience assisting an executive is required.

About the Schedule:


  • This position will be onsite in our Greene, NY Corporate Offices with a potential for an occasional hybrid workday upon successful completion of orientation period.

Knowledge and Skills:


  • Excellent oral and written communication skills. Often required to interact with toplevel management both internally and externally. Often needs to influence others and to resolve sensitive or difficult issues.
  • Must possess experience with the Microsoft Suite of software including demonstrated ability to create presentations.
  • Independent selfstarter.
  • Strong project management skills.
  • Possesses strong problemsolving and decisionmaking skills.
  • Detailoriented with the ability to multitask and prioritize in order to meet deadlines.
  • Skilled ability to utilize a variety of office equipment and a variety of software packages.
