Part-Time RN Office Manager


Location:
Gynecology Outpatient Surgery Center


Job Summary:

The Part-Time Office Manager is a registered nurse and plays a crucial role in the day-to-day operations of the Gynecology Outpatient Surgery Center.

This position is responsible for overseeing administrative tasks, managing clerical duties, and addressing patient and staff issues to ensure efficient and smooth operation of the facility.

The Assistant Office Manager reports directly to the Office Manager and/or practice owner. The position requires the employee to work in office 2-3 days a week.


Key Responsibilities:

Office Management:


  • Oversee the daily operations of the office, including scheduling, reception, and patient flow.
  • Ensure that office supplies and equipment are adequately stocked and maintained.
  • Implement and maintain efficient office policies and procedures.
  • Supervise administrative staff and delegate tasks as necessary.
  • Ensure regulatory standards compliance and adherence.

Clerical Work:


  • Perform various clerical tasks such as data entry, filing, and document management.
  • Maintain accurate patient records and ensure compliance with confidentiality regulations.
  • Coordinate communication between medical staff, patients, and other departments.
  • Manage accounts payable.

Patient Relations:


  • Greet patients and assist with registration and checkin procedures.
  • Address patient inquiries, concerns, and complaints in a professional and compassionate manner.
  • Coordinate patient appointments, referrals, and followup care as needed.
  • Ensure a positive patient experience by providing excellent customer service at all times.

Staff Management:


  • Provide support and guidance to administrative staff, including training and performance evaluation.
  • Address staff concerns, conflicts, and performance issues in a timely and effective manner.
  • Foster a collaborative and supportive work environment that promotes teamwork and employee engagement.
  • Coordinate staff scheduling and ensure adequate coverage for all operational areas.
  • Backup nurse in the event of nurse callout/scheduling conflict.

Qualifications:


  • Bachelor's degree in Nursing required. Registered nurse license must be active and unencumbered.
  • At least 2 years of nursing experience preferred.
  • Previous experience in office management, preferably in a healthcare setting, is highly desirable.
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with a customer serviceoriented approach.
  • Knowledge of medical terminology and healthcare regulations is an asset. OB/GYN knowledge a plus.
  • Ability to work independently as well as part of a team in a fastpaced environment.

Working Hours:
Part-time position with flexible hours, typically ranging from 16 to 24 hours per week. May require occasional weekends to accommodate patient and operational needs.
