AAI is actively recruiting a Medical Appointment clerk to schedule appointments in a government computer system for primary care, specialty and subspecialty medical care.

Additionally, calls patients or responds to secure messages to schedule, re-schedule, and cancel appointments, including appointments within the MTF and with off-base medical facilities.


RESPONSIBILITIES:


  • A fully qualified typist (computer keyboard) with a minimum of 50 WPM is required.
  • Clearly speak and understand the English language.
  • Use of standard office equipment, such as personal computers, copiers, fax machines, and telephone systems.
  • Possess general medical ethics, telephone etiquette, and excellent communication and customer service skills.

REQUIREMENTS:


  • Education/Certification. High school diploma or General Educational Development (GED) equivalency.
  • At least 6 months of experience in medical office scheduling.

PERFORMANCE OUTCOMES:


  • Schedules medical appointments, books followup appointments, inputs cancellations, enters telephone consults to the provider teams, performs callback reminders to patients, and reschedules appointments according to governmentprovided appointing protocols and DoD guidelines. The MTF will provide the MSS Personnel an electronic copy of the standard operating procedures. This document is a living, working document. The government may revise the appointment protocols and guidelines on an as needed basis and will provide updates to the MSS Personnel as necessary. Errors in booking appointments will be tracked and used as a performance measure. Though not allinclusive, examples may include sending a T-Con (Telephone Consult) to the wrong provider, not verifying eligibility or demographics, failing to obtain and provide appropriate information from the patient, booking appointments contrary to 61 MDS appointing protocols, etc.
  • Provides basic information and transfers phone calls to the appropriate department within MTF.
  • Validates patient eligibility for service through Defense Eligibility Report System (DEERS) and registers patients not already in the computer system, such as newborns. Validates and updates basic patient demographic information prior to booking appointments for patients.
  • Utilizes the Government computer system tools and standard protocols to modify appointment schedules (e.g. override detail codes, create virtual appointments) as needed.
  • Contacts patients and responds to secure messaging requests to schedule, reschedule, and cancel appointments. Assists with referral requests for medical care within the MTF and at offbase medical facilities.
  • Assists the Referral Management Center (RMC) by uploading referral results into the electronic health record. Sends telephone consults to the provider for result review.
  • Attends weekly training sessions as directed by the MTF and stays informed on protocol changes.
