    Description

    The Purchasing Administrator (PA) for Crabapple LandscapExperts executes and facilitates the administrative processes for the Enhancement Department. This includes but is not limited to, implementing the Aspire process for generating receipts, receiving delivery tickets, reconciling job invoices, entering them into Aspire daily, and collaborating with the various Project managers, Managers, and Techs in three profit centers to reconcile purchases to receipts and record daily production data. This role's key objective is to maintain daily purchases and data entry accuracy to ensure accurate job costing within 24 hours and facilitate the closing of completed jobs.

    Requirements

    This position requires a highly organized individual, who effectively communicates with the team, and coordinates with several Crabapple staff members daily. They must be adept at using Microsoft Office products and utilize company software to execute the purchasing process.

    • Generate receipts for all materials as projects are 'Won' in the system in preparation for the execution of the work.
    • Receive job packets daily from Enhancement Project Managers, Floriculture managers, and Irrigation Technicians for entry and reconciliation in Aspire.
    • Review purchases for accuracy tie out receipts with purchases and approve material invoices for payment.
    • For long-lead, or special-order items in won contracts, collaborate with the Project Manager(s) to select the appropriate vendor, and initiate the early order to meet project schedules.
    • Update the material catalog pricing when market pricing exceeds the catalog price to maintain accurate estimated costs.
    • Meet with (TBD) weekly and provide updates on current project material budget status.
    • Develop and maintain clear communication with the Project managers including in-person meetings and electronic communication.
    • Participate in project KAKO meetings (KAKO Agenda defines additional responsibilities).
    • Attend all required safety, skill, and leadership development trainings.
    • Professionally represent the company's values, standards, and principles in all interactions. Support the company culture and employee environment.
