Duties & Responsibilities:


Under general direction, of the Chief & Nursing Executive Director of Ambulatory Care with some latitude for individual or independent action and decision.

Offers executive-level administrative support to the Ambulatory Care Leadership Team. Resourceful professional with exceptional communication skills while ensuring confidentiality in performing office management duties.


SUMMARY OF DUTIES AND RESPONSIBILITIES

Major Duties and Responsibilities

  • Provides administrative support for Department Leads.
  • Answers telephone courteously, resolving issues or redirecting calls appropriately.
  • Records departmental daily call outs. Maintains staff time and leave records. Alerts managers when staff are out of compliance with time and leave attendance requirements.
  • Answers patient phone calls, directing to the right person, and cancelling/rescheduling appointment as needed.
  • Reports and follows up to ensure that Ambulatory Care Services environmental issues are resolved on a timely basis. This includes issues related to housekeeping, restroom/lounge supplies and appliances, temperature control, pest control and other issues.
  • Processes departmental electronic purchase requisitions. Follows up with Procurement as necessary to resolve issues and avoid delays.
  • Coordinates logistics, attends meeting, compile information package, take meeting minutes, and develop minutes for monthly meeting.
  • Handles all correspondences for Department Leadership relating to Harlem Health business.
  • Maintaining a professional and confidential working relationship with Department Heads, Central Office, staff, vendors, and the general public.
  • Managing Department Leadership Team calendar, including scheduling and prioritizing appointments.
  • Performing office administration functions including: researching information, compiling reports, filing, faxing, answering telephones, professionally responding to inquiries, screening and distributing incoming mail and messages.
  • Maintains files and documents.
  • Disseminates information and manages communication between Administrative team.
  • Prepares PowerPoint presentations for the Department Leadership Team.
  • Handles correspondences for Leadership Team
  • Tracks purchase order approval for Ambulatory Care budgeted expenses.
  • Supports Administrative team on special projects as requested.
  • Attends meetings with Department Leadership Team as requested.

Minimum Qualifications:


  • A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of fulltime experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,
  • A satisfactory combination of education, training and experience.
