Overview:
We are seeking a highly organized and detail-oriented Admin Assistant/Accounts Payable Clerk to join our site contractor company. The professionals we seek are friendly, reliable, self-starters who can work independently and collaboratively. This position requires proficiency in computer literacy, excellent customer service skills, and the ability to handle various office tasks. Accounting/ Bookkeeping experience a must. This is a full-time position based in our office.

Responsibilities include but are not limited to the following:

  • Process accounts payable invoices and ensure accurate coding and entry into the accounting system
  • Review invoices for accuracy, resolve discrepancies, and obtain necessary approvals
  • Prepare and process payments to vendors
  • Reconcile vendor statements and resolve any outstanding issues or discrepancies
  • Maintain accurate and uptodate vendor records in the accounting system
  • Assist with monthend closing activities related to accounts payable
  • Assist HR with payroll
  • Equipment record maintenance
  • Obtain OS/OW Permits
  • Annual Compliance Filings
  • Answering Phones

Qualifications:

  • Previous experience as an Accounts Payable Clerk or similar role preferred (2+ years)
  • Proficient in using Microsoft Office Suite (Excel, Word)
  • Applicant must be flexible and have the desire to learn (will provide training in accounting software)
  • Strong attention to detail and accuracy in data entry
  • Excellent organizational skills and the ability to multitask and prioritize tasks effectively
  • Strong communication skills, both verbal and written
  • Ability to work independently as well as collaboratively within a team environment
  • Knowledge of basic accounting principles is a plus

Skills:


  • Familiarity with phone systems and ability to handle incoming calls professionally
  • Strong file management skills, including organizing and maintaining physical and electronic files
  • Efficient data entry skills with a high level of accuracy
