What to expect
As part of the Shanor-Northvue team, you will be responsible for planning and organizing meetings and events, coordinating schedules, and sending out invitations.
As the first point of contact for external inquiries and internal matters, you will relay information to your colleagues and handle all postal business correspondence.
You will also support contract negotiations by compiling relevant documents and obtaining signatures, and you will be responsible for managing and archiving documents, reports, and materials.
In addition, you will ensure smooth office operations by ordering office and work materials, maintaining office equipment, and coordinating general office activities.
You will play a supportive role in internal communication, preparing meetings, creating minutes, and informing team members about important developments.
In the event of absence, you will also be responsible for preparing and following up on appointments and meetings, managing incoming and outgoing mail (including deadline tracking), and handling courier shipments.
Commercial vocational training as an office clerk (all genders) or a comparable vocational qualification or career change with many years of experience in office management
Proficient in MS Office (Word, Excel, PowerPoint, and Outlook)
Excellent teamwork and communication skills, as well as assertiveness
Reliable and structured work style
Excellent time management and organizational skills
Fluent in German and good knowledge of English
