Executive Assistant and Contract Administrator

Job Description Summary:


Key Responsibilities:


Executive Assistant (50%):


Executive Support:


  • Provide highlevel administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.

Meeting Coordination:


  • Schedule and organize meetings, including preparing agendas, taking minutes, and following up on action items.
  • Communicate and coordinate with 3rd parties who need to meet with one or more of the executive team members.
  • Coordinate logistics for executive meetings, conferences, and events.

Communication and Liaison:


  • Serve as a liaison between executives and internal/external stakeholders.
  • Handle confidential and sensitive information with discretion and professionalism.

Office Management:


  • Manage the ordering and replenishment of general office supplies for the headquarters.
  • Implement and improve administrative organization and processes to enhance efficiency.

Contract Administration (50%):


Contract Review and Completion:


  • Review contract solicitation terms, handle contract award confirmations, interpret agreement terms and conditions and identify potential issues, review agreement amendments/modifications, and incorporate changes.
  • Review contract documents for any exposure to financial risk and external claims.
  • Work directly with VPs and SRs to gather or alert them of critical information needed to complete bid process.
  • Help negotiate terms and conditions under the contract manager's direction.
  • Collect necessary internal signatures, assure document completion, and mail or transmit completed bid packages to recipients.

Compliance and Risk Management:


  • Ensure that contracts are internally executed by a signatory with the proper authority.
  • Ensure contract compliance with applicable laws, regulations, and organizational policies.
  • Ensure that contracts follow Federal, State, and local laws, ordinances, and policies.
  • Request and/or complete standard compliance documentation as required.

Ability to Relocate:

  • Sandy Hook, CT 06482: Relocate before starting work (required)
