Scope:
The License and IP Assistant plays a pivotal role in supporting the License and IP Administrator in managing various aspects of intellectual property (IP) and licensing operations within the organization.
This role encompasses responsibilities related to royalty reporting, licensee management, patent, and trademark administration, as well as general office support functions.
Duties and Responsibilities:
- Provide support to the manager in the administration of royalty reports, plant breeder reports, and licensee annual schedules, ensuring accuracy and timeliness in execution.
- Work closely with the manager to verify and maintain accurate information within SAP, including but limited to royalty rates, marketing fees and plant breeder information.
- Oversee the organization and maintenance of domestic rose license files, edible license files, patent files, and trademark files ensuring accuracy, accessibility, and compliance with established procedures and regulations.
- Collaborate with various team members to ensure accurate product information, licensee, and vendor information is entered into SAP correctly.
- Ensure timely collection and distribution of licensee monthly statements, licensee daily deposits, and pot vendor rebate reports to appropriate stakeholders, facilitating effective communication with the company.
- Ensuring the licensee monthly statements, licensee daily deposits, Pot Vendor Rebate reports are collected all communicated to the right stakeholders.
- Responsible for ordering licensee tags and Contract Grower tags in StarTrack.
- Responsible for distribution of incoming mail and processing outgoing company mail.
- Maintaining and ordering office supplies.
- Serve as the primary point of contact by efficiently answering and directing incoming phone calls for the company, providing professional and courteous assistance to all callers.
- Performs additional duties as required.
Requirements:
- A high diploma or equivalent (GED), plus a minimum of two years of office administration experience.
- Must be comfortable with MS Excel, MS Outlook, and MS Word Document. Able to show ability to work in programs.
- Demonstrated proficiency in written and verbal communication.
- Exceptional organizational skills with a strong attention to detail.
- Proven ability to prioritize tasks and manage time effectively.
- SAP experienced preferred.
- This position primarily involves manual dexterity while operating standard office equipment at your desk. Occasionally lifting up to 20lbs may be required.
