Description

The Office Assistant is the welcoming face of our organization, greeting visitors with professionalism and warmth and creating a positive first impression.

The role supports day-to-day operations by managing incoming calls, handling mail, and maintaining an organized reception area. Additionally, they provide assistance to team members across the entire business.


Key Responsibilities

  • Serve visitors by greeting, welcoming, and directing them appropriately. Notify relevant employees when guests arrive.
  • Organize the reception area in compliance with office procedures, rules, and regulations.
  • Maintain a meticulously organized office environment, encompassing both the general workspace and the kitchen area. This includes overseeing the cleanliness, orderliness, and efficient organization of all spaces to foster a productive and welcoming atmosphere for all staff and visitors.
  • Oversee the procurement and upkeep of the snack and coffee areas as well as the copier room. Check supply levels and ensure that they are always well stocked and organized.
  • Manage the water service to guarantee a constant supply of bottled water, reflecting our commitment to creating a comfortable and accommodating work environment.
  • Keep accurate and comprehensive records of office supply inventory and expenses.
  • Sign for deliveries and ensure all mail and packages are distributed accordingly.
  • Coordinate internal team luncheons, ensuring the provision of suitable beverages and meals for various meetings. This includes selecting and arranging catering options with sensitivity to the diverse preferences and dietary requirements of the team.
  • Manage inventory such as office equipment and furniture.
  • Manage meeting room availability.
  • Assist other staff with overflow work, including data entry and research, as needed.
  • Support accounting by helping reconcile credit card statements to ensure all changes are accurate and accounted for. Review transaction details, match them with corresponding receipts or documentation, and address any discrepancies or usual activities promptly to maintain financial integrity and accuracy.
  • Conduct daily inspections of all bathrooms to ensure they are clean, wellmaintained, and fully stocked with necessary supplies. Report any issues or malfunctions to the maintenance team for prompt resolution.
  • Provide support to the Director of Construction and Managing Principal as required, adapting to a wide range of tasks to meet their professional needs.
  • Other duties as assigned.

Education/Experience Requirements

  • High school diploma or associate degree.
  • Prior administrative experience is helpful, but not required.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Mircrosoft Office Suite, including Outlook, Word, OneDrive, and SharePoint.
  • Eagerness to learn and adapt to new tasks and challenges.
  • Selfmotivated problem solver.

Additional Eligibility Qualifications

  • Must pass a background check.
  • Must be eligible to work in the United States.
  • Must have a valid Driver's License and a vehicle to run errands on behalf of the company.
  • Sponsorship is not available for this position at this time.

Pay:
$ $22.00 per hour

Expected hours: 40 per week
