Job Overview:
We are searching for a Benefits and Leave Specialist to serve as a key resource for the organization.

This role is responsible for day-to-day compliant administration and coordination of the benefits and leave programs for the organization, and serves as the main contact for the communication and administration of employee benefits, employee leave management, and the successful completion of compliance reporting.


The Benefits and Leave Specialist will work closely in partnership with other members of the Human Resources (HR) team in support of the organization's operational needs.

Duties include, but are not limited to, the following:


Primary Job Duties:
Benefits Administration


  • The ability to partner with the Director of Human Resources on the design, planning, and execution of the benefits strategy, including the administration of group benefits programs, and system improvements related to benefits.
The ability to manage the day-to-day administration and coordination of the benefits programs for the organization, including but not limited to:

  • Medical
  • Dental
  • Vision
  • Life and Disability
  • Work/Life Benefits (i.e., Accident Insurance)
  • COBRA Administration
  • Flexible Spending Account (FSA) and Dependent Care Account (DCA)
  • Employee Assistance Program (EAP)
  • 401(k) Plan Administration
  • The ability to coordinate daily processing, handle new hire enrollments, open enrollment, eligibility changes (to include terminations), beneficiaries, disability claims, accident and life claims, and rollovers.
  • The ability to maintain 401 (k) plan administration, including but not limited to: quarterly reviews of investment portfolios, enrollment/participation initiatives, program strategies, compliance testing, and vendor relationship management, i.e. Fiduciary, Advisors, Legal Team, and Broker.
  • The ability to serve as a consulting resource for employees on benefit options and enrollment processes.

The ability to lead open enrollment planning and execution to include event coordination, system updates, testing, communications, audits, and employee follow-ups.


  • The ability to administer the organization's Wellness Program, including but not limited to: program design, communication strategy, program eligibility, and program incentives.
  • The ability to perform other duties and projects as assigned.

Benefits Compliance

  • The ability to ensure all local, state, and federal regulatory requirements are met.
The ability to maintain compliance for the administration of group benefit programs across the organization, including but not limited to:

  • Form 5500 Filings and SARs
  • ACA Reporting
  • Compliance Testing (i.e., Nondiscrimination Benefits Testing and 401 (k) monthly/quarterly/annual compliance testing)
  • The ability to partner with Payroll Management on benefit deduction audits and enrollments each payroll cycle.
  • The ability to maintain administration and compliance of the Qualifying Life Event (QLE) process.
  • The ability to ensure benefits billing invoices are audited and timely processed.
Leave Management


  • The ability to manage the day-to-day administration and coordination of the organization's leave programs, including but not limited to: FMLA, Disability, Leave of Absence (LOA), and ADA accommodation requests, including processing in HRIS system and communication to department/location assigned HR team members.
  • The ability to monitor PTO balances for compliance and usage policies.
  • The ability to partner with Payroll Management and HR Team Members on leave audits.

Other Duties and Expectations

  • The ability to support initiatives pertaining to the administration of benefits satisfaction surveys.
  • The ability to provide consultation to internal stakeholders.
  • The ability to live and demonstrate our core values.

Requirements:


  • Bachelor's degree in Business, Human Resources, or another related field
  • 3+ years of multistate benefits and leave administration experience
  • Experience with working in a decentralized work environment
  • Multistate benefits and leave expertise, preferably within IN, NV, PA, and TX
  • HR Certification, such as, PHR, SPHR, SHRM-CP, or SHRM-SCP, a plus not required
  • An equivalent combination of education and/or experience may be considered

Knowledge, Skills, and Abilities

  • Advanced level of proficiency in Microsoft programs
  • Experience with Ceridian/Dayforce preferred, but not required
  • Knowledge of federal, state, and local laws affecting benefits administration
  • General knowledge of human resources processes and procedures
  • Excellent written and verbal communication skills required
  • Strong business ethics, particularly regarding confidentiality
  • Strong attention to detail, and follow through skills
  • Strong crossfunctional collaboration skills
  • Ability to work independently and on a team
  • Ability to maintain a professional disposition and be courteous
