Administrative Assistant
Hetzel-Sanfilippo, Inc is a family-owned Union Commercial Drywall/Carpentry Contactor, in business since May 1993. We work with clients and general contractors across the United States in various industries. Typical projects are healthcare organizations, commercial office buildings and retail/hospitality industry facilities, ranging from small maintenance to building buildouts. Our approach is treating each customer/contractor/trade partner as they are the most important, whether they are large or small.

Part Time to Full Time Available


About the Job
This position is essential to ensure accurate accounting of project revenue and expenses.


Core Responsibilities:


  • Accounts Payable match invoice with quote, code, and process invoice. Reconcile monthly statements from subcontractors/suppliers and handle the discrepancies. Keep track and send paperwork to the appropriate supplier for tax exempt projects.


  • Assist with payroll

  • Payroll done weekly. Track timesheets through Procore. Process payroll includes entering weekly payrolls into Paychex.
  • Maintain office supply inventory.
  • New project set up includes updating Foundation accounting system & Procore. Obtaining the Certificate of Insurance for the project.
  • Manage the field employees' cell phones, laptops, ipads
  • Greet and assist visitors.
  • Any other duties as assigned to assist project management.

Skills & Values:


  • 1+ years of recent experience in an administrative office position. Experience in the construction industry is helpful, but not required.
  • Strong oral and written communication skills

  • Ability to multitask and handle interruptions
  • Team player relationships at all levels
  • Organized

Computer skills:


  • Proficient in Microsoft Office and Adobe
  • Foundation Software or other construction software experience
  • Procore construction software knowledge

Education:


  • High School Diploma required.
