    We have an opportunity for a top candidate to join Maryville College's staff as the new Event Scheduling & Sales Manager (ESSM).As the Event Scheduling & Sales Manager, you would be responsible for the day-to-day event scheduling and sales for College facilities managed by Event Operations.

    Primary salesperson and manager for summer camps & conferences hosted by Maryville College. Often serves as primary guest relations manager with events, camps and conferences leaders.

    Your primary job duties and responsibilities would include:

    The ESSM, working in conjunction with the Director, will create and keep the master calendar for Maryville College facilities updated, scheduling the use by the Partners, recording rentals and other uses of the facilities, including uses designated by the registrar as necessary curricular activities.

    This calendar will be comprehensive and as reliable as possible.

    The ESSM will develop and negotiate fees and contracts in the best interest of the College for one-day events, summer camps and conferences, food service and technical services.

    Responds to client inquiries and negotiates contract terms and fee structure with a wide variety of facility users in a professional and timely manner.

    Acts as a liaison to the College Board and is responsible for the planning, coordination, and execution of annual AP program including recruitment and hiring of instructors, planning and printing program brochures, oversees contracts and payment for instructors, publicity, mailing and outreach efforts, attendee registration, housing and meal plans and follow-through for program offerings.

    Schedules services and use of facilities for one-day events, and summer camps and conferences. Represents Residence Life and Food Services in coordinating summer meal plan arrangements and overnight accommodations for campus guests. Oversees the management of summer residence hall operations through the use of student assistants. Hires, trains and supervises all summer conference assistants.

    Working in close collaboration with the Director of Event Operations, oversees planning and coordination of response to client needs including accurately communicating client needs to other service providers including caterers and/or meal service providers, housekeeping, maintenance, technical and other services as needed for on and off-campus guests.

    In conjunction with the Director, serves as primary contact person for outside groups using all campus facilities and for some rentals at the Clayton Center for the Arts.

    Maintains financial records relevant to events.

    Works with the College and Clayton Center Business Managers to maintain financial records and oversee processing event revenue, deposits and expenses, client invoicing, accounts receivable and monthly sales tax reports.

    Prepares monthly billing statements, and pursues collections as needed.

    Minimum qualifications for this job required are:
    Education required to ensure success in this position:Bachelor's degree (B. A.) in Marketing or related field, required.

    Experience required to ensure success in this position:
    Minimum of 3-5 years' experience in event service management required.
    Direct experience with event, conference and facilities management and industry certification, beneficial.
    Experience with management of expense budget and revenue accounts.


    Special skills, knowledge and abilities:
    Knowledge and ability to utilize Accruent EMS, CVENT or similar programs and software for event and facility management.

    Strong organizational and project management skills, with the ability to manage multiple projects simultaneouslyMaintain a working knowledge and ability to capitalize on opportunities, utilize sales and promotional tactics, and audience engagement techniques.
